Zusammenfassung

JLL is seeking a Senior Program Delivery Coordinator to own end-to-end event coordination for all events in the designated space in service of AWS GREF. You will act as the primary liaison between AWS stakeholders and AT&E, managing intake, requirements, and communications, while ensuring flawless execution and client satisfaction.

In Berlin on-site, you will manage the event calendar, supervise a coordinator, develop SOPs, templates and checklists, and track KPIs with monthly performance

Qualifikationen

What this job involves:

As the Senior Program Delivery Coordinator, you will own end-to-end event coordination for all events hosted in the designated specialty space in service of the Amazon Global Real Estate and Facilities (GREF) client. This position requires you to develop and maintain program SOPs, event templates, and quality checklists in alignment with AT&E standards while tracking event metrics, satisfaction scores, and KPIs to deliver monthly performance summaries to AT&E’s APDM. What your day-to-day will look like:
  • Primary Scope: Standard Responsibilities
  • Own end-to-end event coordination for all events hosted in the designated specialty space, from initial intake through post-event wrap-up, ensuring seamless delivery and client satisfaction
  • Serve as primary liaison between AWS stakeholders and AT&E, managing event intake, requirements gathering, and planning communications while maintaining strong relationships and clear expectations
  • Manage the event calendar, ensuring all bookings, resource allocations, and vendor requirements are documented and confirmed in advance to prevent conflicts and ensure readiness
  • Supervise the Program Delivery Coordinator, delegating event tasks, providing quality oversight, and managing day-of execution while supporting their professional development and success
  • Develop and maintain program SOPs, event templates, and quality checklists in alignment with AT&E standards to drive consistency, efficiency, and scalability across all events
  • Track event metrics, satisfaction scores, and KPIs while delivering monthly performance summaries to AT&E’s APDM that provide clear insights into program performance and areas for improvement
  • Coordinate with building management, AV teams, catering vendors, and other third-party suppliers to ensure flawless event logistics while maintaining accountability for vendor performance and budget management
  • Elevated Scope: Program Expansion and Strategic Support
  • Support AT&E’s APDM in onboarding new funded headcount locations by sharing SOPs, templates, and lessons learned, enabling consistent program delivery and knowledge transfer across expansion sites
  • Provide secondary event support for events at the APDM’s direction when primary space capacity allows, expanding your skills and contributing to broader program needs
  • Identify process improvement opportunities and surface recommendations to AT&E’s APDM for review and potential standardization, driving continuous improvement and operational excellence
  • Participate in quarterly partnership reviews, presenting operational performance data and highlighting any emerging scope or staffing considerations to support strategic planning and decision-making.
Required Qualifications:
  • Three (3) or more years of event management, program coordination, hospitality, or related experience with demonstrated success managing complex events from intake through execution
  • One (1) or more years of supervisory or team leadership experience with ability to delegate effectively, provide coaching, and manage performance while maintaining accountability for team results
  • Strong project management skills with ability to manage multiple concurrent events, prioritize competing demands, and maintain attention to detail under pressure
  • Excellent stakeholder management and communication skills with ability to interact professionally with senior-level clients, vendors, and cross-functional partners
  • Proven ability to develop and implement Standard Operating Procedures (SOPs), templates, and process documentation that drive consistency and enable scaling
  • Experience with budget management, vendor coordination, and financial tracking with accountability for cost control and reporting
  • Strong analytical skills with ability to track metrics, analyze performance data, and present findings clearly to leadership using data-driven insights
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and comfort learning new technology platforms including event management systems and project management tools
  • Proactive, solutions-oriented work style with strong initiative and ability to identify problems, develop recommendations, and drive implementation
  • Demonstrated success working in fast-paced, high-profile corporate environments where agility, professionalism, and client service are essential.
Preferred Qualifications:
  • Experience working in corporate environments, particularly supporting workplace services, facilities management, or corporate real estate operations
  • Background in hospitality management, corporate event planning, or conference services with understanding of industry best practices and quality standards
  • Familiarity with project management methodologies and tools (Asana, Monday.com, Smartsheet, or similar) that support structured program delivery
  • Knowledge of AV systems, event technology, and production requirements including ability to coordinate technical setups and troubleshoot issues
  • Experience with catering management including menu planning, dietary accommodations, food safety protocols, and vendor performance management
  • Understanding of building operations, security protocols, and facilities coordination in corporate office environments
  • Track record of supporting program expansion or scaling initiatives including launching new locations or onboarding new team members
  • Experience presenting to senior leadership and participating in strategic planning discussions with ability to communicate performance data and recommendations effectively
  • Customer satisfaction measurement experience including designing surveys, collecting feedback, and implementing improvements based on insights
  • Knowledge of contract management, vendor agreements, and procurement processes in corporate environments.
