Zusammenfassung

Agile Robots SE in Munich is seeking a Project Coordinator to support delivery of software and robotics projects, from the AgileCore platform to customer applications on production floors. You will coordinate activities, track requirements, report on status, and keep deliverables on time.

You’ll work closely with engineers, product managers, and customers, stay proactive in a fast‑moving environment, and help evolve our project management practices and use AI tools to improve how the team works.

Qualifikationen

• 2–5 years coordinating technical projects (robotics or software).
• Experience juggling multiple projects in a fast-paced environment.
• Strong organizational skills and ability to manage competing priorities.
• Proactive and independent with the ability to set priorities and follow through.
• Excellent communication and stakeholder management; able to distill complexity for busy people.
• Experience with management presentations and reporting.

Aufgaben

• Coordinate multiple projects; track status, milestones, dependencies, and ownership.
• Build and maintain project plans, timelines, and trackers with engineers and PMs.
• Spot risks and blockers early and follow up until resolved.
• Prepare status reports, updates, agendas, and meeting minutes.
• Present progress to management, stakeholders, and customers.
• Align cross‑functional stakeholders on priorities and responsibilities.
• Handle procurement: quotations, purchase requisitions, lead times, supplier contact.
• Support change management: communications, stakeholder engagement, prioritization.
• Help build and improve PM processes and templates as we grow.
• Build technical fluency in robotics and software to judge plans critically.

About the Role

We’re looking for a Project Coordinator (m/w/d) to support delivery of our software and robotics projects — from our AgileCore platform to customer applications on production floors. You’ll coordinate activities, track requirements, report on status, and keep deliverables on time, working closely with engineers, product managers, and customers.

We move fast, so we need someone energized by that pace — proactive, structured, and comfortable driving topics forward independently. You’ll also help shape our project management practices and explore how AI tools can improve how the team works.

What You’ll Do

• Coordinate multiple projects: track status, milestones, dependencies, and ownership
• Build and maintain project plans, timelines, and trackers with engineers and PMs

• Prepare status reports, management updates, agendas, and meeting minutes

What We’re Looking For

• 2–5 years coordinating technical projects (software, robotics, automation, or similar)
• Experience juggling multiple projects in a fast‑paced environment
• Strong organizational skills and the ability to manage competing priorities
• A track record of creating structure yourself — planning, tracking, reporting, or documentation — rather than just working within someone else’s system
• Excellent communication and stakeholder management; able to distill complexity for busy people
• Experience with management presentations and reporting
• Proactive and independent — you set priorities, ask questions, and follow through
• Comfortable in a fast‑moving, still‑forming environment
• Enthusiasm for using modern and AI tools in daily work
• Fluent English
• Hands‑on with Excel, PowerPoint, Teams, SharePoint, and tools like Jira/Confluence

Nice to Have

• Background in robotics, automation, mechatronics, or manufacturing
• Technical degree (engineering, CS, mechatronics, or equivalent) — no coding required, but enough to follow engineering discussions
• Purchasing experience: quotations, requisitions, lead times, supplier communication, ERP/SAP
• Familiarity with project management frameworks
• Experience in a scale‑up or high‑growth environment
• Willingness to travel to customer/partner sites
• German helpful; Chinese a plus
