Agile Robots SE in Munich, Germany, is seeking a Project Coordinator (m/f/d) – English/Chinese Speaking to support project coordination across Germany and China teams. This is an on-site, full-time role focused on organization, communication and stakeholder coordination in a fast-paced R&D environment.

You will help track milestones, coordinate cross-functional work between China and Germany, assist suppliers, translate documents, and support weekly meetings and product demos.

Qualifikationen

• Pursuing a Bachelor's or Master’s degree in Business, Management, Industrial Engineering, Engineering, AI, Robotics, or related fields.
• Strong organizational skills with an understanding of project planning, task tracking, and stakeholder coordination.
• Excellent written and verbal communication skills in English and Chinese across multicultural teams.
• Detail-oriented with the ability to manage multiple tasks while maintaining accuracy.

• Basic understanding of Bills of Materials (BOM) documentation and accuracy.

About the role

The R&D Humanoids team at Agile Robots is looking for a Project Coordinator (m/f/d) – English/Chinese Speaking to support project coordination and cross-functional collaboration across our Germany and China teams. This role focuses on project organization, communication, stakeholder coordination, and operational support within a fast-paced R&D environment. While the position is primarily management-oriented rather than technical, applicants with a background or interest in robotics are encouraged to apply.

This is an on-site, full-time position.

Your Responsibilities

• Project Coordination: Support project planning and execution by tracking milestones, monitoringprogress, following up on action items, and helping ensure projects stay on schedule
• Cross-functional Communication: Coordinate information across teams and sites, helping bridge communication between China and Germany to ensure alignment on priorities and deliverables
• Supplier Coordination: Support supplier communication by maintaining supplier information, collecting quotations, confirming lead times, and coordinating required documentation
• Translation & Documentation: Translate project-related documents and facilitate communication between Chinese and English during meetings when needed, ensuring consistency and clarity
• Operational Support: Assist with day-to-day team operations, including organizing weekly meetings, maintaining shared documentation, supporting lab coordination, tracking key project topics, and supporting the planning and execution of product demos (including logistics, scheduling, and coordination with stakeholders

Essential Skills

• Academic Background: Currently pursuing a Bachelor’s or Master’s degree in Business, Management, Industrial Engineering, Engineering, AI, Robotics, or related fields
• Project Coordination: Strong organizational skills with an understanding of project planning, task tracking, and stakeholder coordination
• Communication & Language: Excellent written and verbal communication skills in both English and Chinese, with the ability to work effectively across multicultural and cross-functional teams
• Detail-oriented: Able to manage multiple tasks while maintaining accuracy and attention to detail
• Proactive Mindset: Self-driven, responsible, and eager to take ownership of tasks
• Adaptability: Comfortable working in a fast-paced R&D environment with evolving priorities, changing requirements, and ambiguity. Able to adjust quickly while maintaining focus and organization
• Documentation Discipline: Ability to create, organize, and maintain clear, structured documentation that others can easily follow and reference
• Time Management: Able to prioritize tasks effectively and meet deadlines when juggling multiple concurrent workstreams
• Teamwork & Collaboration: Works well within a team setting, building trust with colleagues across different functions and locations
• Problem-Solving: Able to identify issues or bottlenecks early and proactively flag or help resolve them rather than waiting for direction
• Technical Documentation: Basic understanding of creating and maintaining Bills of Materials (BOM), with attention to accuracy in part numbers, quantities, and specification

Beneficial Skills

• Technical background in robotics, mechanical, electrical, software engineering, or related disciplines
• Experience with project management tools such as Microsoft Project, Jira, Confluence, or similar
• Familiarity with Visio, Gantt charts, or other planning and visualization tools
• Exposure to procurement, supplier management, or project controlling
• Previous experience working in international or cross-cultural teams
• Ability to organize information into clear, structured presentations for different audiences
