Zusammenfassung

Heidi is seeking a Clinical Form Specialist to ensure Heidi’s PDF forms fill accurately. You will configure fields, label and type form elements, and collaborate with enablement and growth teams across regions to improve form quality and user experience.

You’ll work in a fast-paced environment, handling requests from clinicians worldwide, and contribute to internal guides while learning Heidi’s product inside out.

The role

As a Clinical Form Specialist , you sit within the Clinical Enablement team and you’re the person who makes Heidi’s PDF forms fill accurately. Heidi detects the fields on a form; you decide what each one is called, what type it should be and how much room it needs, so the right information lands in the right box.

It’s careful, methodical work with a direct line to output quality. You’ll work a queue of forms from Australia, the UK, the US, Canada and beyond, spanning individual clinicians through to large enterprise customers. Beyond configuration, you’ll help internal teams build forms themselves and feed what you learn back to the forms and growth teams.

You don’t need to be a clinician, though a clinical background helps, which is why this suits someone early in their career. If you’ve trained in allied health, nursing or medical administration, you’ll recognise most of these forms - and more usefully, you’ll know what a clinician would actually write in a box that only says “notes”.

What you’ll do

  • Receive, triage and configure form requests, covering user-submitted requests, enterprise deal requirements and community form templates maintained for all Heidi users.

  • Set clear expectations with clinicians and internal team members - explaining what is achievable, what the trade-offs are, and why.

  • Label and type every field on incoming forms in Field Recognition: writing clear, specific field labels, choosing the right field type (text, number, date, checkbox, radio button, dropdown, signature) and setting character limits that hold the layout.

  • Configure forms end to end where a request needs more than labelling: preparing source PDFs, adding fields Heidi missed, resizing and aligning.

  • Surface patterns and flag edge cases from the queue, feeding insight back to the forms team and the growth team to inform what gets built next.

  • Contribute to the guides and worked examples that help internal teams label forms themselves, so the queue is reserved for the hard ones.

  • Manage your own workload across regions and urgency levels, flagging early when volume or complexity needs escalation.

  • Develop a working knowledge of Heidi and how clinicians use it across different specialties, settings and regions.

What you’ll need

  • A quick learner who can pick up Heidi’s product fast and work autonomously with high accountability.

  • A highly organised individual who manages their time effectively and works autonomously with high levels of accountability.

  • Clear, direct communication skills - you are comfortable reaching out to a user to explain a limitation or set a realistic timeline, and you do not leave people waiting without context.

  • The judgement to know when to stop and ask. You can tell a straightforward form from one that needs a conversation first, and you flag the second kind early.

  • Patience for detailed, repetitive work done properly, including checking your own output rather than assuming it worked.

  • Comfort with ambiguity. You don’t need every rule written down before you start, you ask good questions and you help improve the process for next time.

  • Strong working knowledge of Adobe Acrobat or form-building tools. You’ll spend a large part of your week in it: preparing source PDFs, adding fields Heidi missed, resizing and aligning them to the layout, setting character limits and unlocking secured files.

  • Prior experience with software tools like Notion, Intercom, or similar is advantageous, but not required.

  • Genuine excitement about Heidi’s mission and the potential of AI in healthcare.
