XpertDox LLC is seeking a Program Coordinator to own day-to-day program operations, client onboarding tracking, and cross-functional coordination across US and India teams. You will drive end-to-end timelines and ensure projects move from kickoff to completion with minimal supervision, with potential growth into direct reports as the team expands.

XpertDox is a healthcare AI company headquartered in Scottsdale, AZ. Our platform, XpertCoding, uses machine learning to automate medical coding - assigning ICD and CPT codes - for healthcare providers across the United States. Our team operates across the US and India, and we are growing rapidly.

About the Role

We are hiring a Program Coordinator to own day-to-day program operations, client onboarding tracking, and cross-functional coordination across our US and India teams. This is not a traditional coordination role. You will own program timelines end-to-end, drive accountability across distributed teams, and ensure projects move from kickoff through completion with minimal supervision. As the team grows, this role may expand to include direct reports.

Responsibilities

Program Management and Delivery

• Own end-to-end program timelines for client onboarding, product rollouts, and internal projects
• Track and report weekly status across all active programs to leadership
• Identify risks, blockers, and dependencies early and drive resolution across teams
• Create and maintain program roadmaps, milestone trackers, and delivery dashboards
• Run weekly program review meetings with US and India teams
• Ensure deliverables meet quality standards and deadlines with minimal escalation

Client Onboarding Operations

• Track client onboarding stages from validation batch through go-live
• Maintain the weekly onboarding status tracker and distribute updates to stakeholders
• Coordinate validation batch uploads, audit reports, and milestone sign-offs
• Track weekly MR% across clients against tier-based thresholds and flag misses early
• Propose corrective actions when client timelines slip

Cross-Functional Coordination

• Coordinate between engineering, informatics, client success, and leadership teams
• Manage action items, follow-ups, and decisions from cross-team meetings
• Serve as the central point of contact for program status and issue tracking
• Bridge communication between US-based leadership and India-based delivery team

Vendor and Stakeholder Management

• Support vendor follow-ups for licensing, compliance, and infrastructure items
• Track contract renewals, subscription statuses, and vendor deliverables
• Draft professional communications to external partners and vendors

Documentation and Reporting

• Create and maintain SOPs, SOWs, process documents, and runbooks
• Build weekly and monthly reports covering tracking, onboarding status, and ticket metrics
• Document meeting notes, decisions, and action items with clear owners and deadlines

Required Qualifications

• 2+ years in program coordination, project management, or operations
• Experience working with cross-functional and geographically distributed teams
• Proficiency in Excel or Google Sheets, Google Workspace, and a project tracking tool (Jira, Monday, Asana, or similar)
• Self-starter who works independently with minimal day-to-day supervision
• Comfortable with ambiguity and shifting priorities in a startup environment

Preferred Qualifications

• Experience in healthcare, health-tech, or SaaS operations
• Familiarity with ticketing systems such as Freshdesk or Zendesk
• Exposure to AI/ML product workflows or data pipeline operations
• PMP, CAPM, or Scrum certification
