Position Overview

The Litigation Assistant is an integral role supporting litigation processes. This position ensures legal documents, case materials, and communications are organized, filed, and delivered on time. The Litigation Assistant provides vital support to attorneys, clients, and court personnel, managing deadlines, drafting legal documents, and coordinating essential case activities. A strong attention to detail and excellent organizational and multitasking skills are essential.

Responsibilities
  • Case Management and Organization: Thoroughly organize and maintain case files, ensure proper naming conventions, and keep case information up to date in the case management system.
  • E-Filing, Service of Legal Documents, and Correspondence: Manage electronic filings, coordinate with opposing counsel and judicial assistants, and serve legal documents with appropriate deadlines.
  • Saving Court-Related Filings and Email Correspondences: Save and organize court filings, ensure proper documentation and processing.
  • Client Communication: Return client calls within 24 hours and verify/finalize the Litigation Biography, ensuring information accuracy.
  • Drafting of Summons, Complaints, and Discovery Documents: Prepare necessary documents with accurate information and legal claims; draft discovery-related documents per case strategy.
  • Discovery Review and Management: Review discovery materials with attorneys, organize and file exhibits for future use.
  • Deposition, Hearing, and Mediation Preparation: Assist in preparing necessary documents and provide administrative support throughout processes.
  • Deposition Scheduling and Coordination: Prepare and serve Notices to Set Depositions and coordinate with court reporters, including virtual meeting details.
  • Deadline and Calendar Management: Track all case deadlines and notify the legal team of upcoming dates for filings, deposits, hearings, and mediations.
  • Litigation Costs and Financial Management: Manage invoices and litigation expenses; update cost tracking systems as needed.

  • Must be fluent in English and Spanish.

Preferred Qualifications
  • High school/technical/bachelor’s degree in a related field or equivalent experience in a legal setting; prior experience as a legal assistant or with e-filing and court documents.
  • Prior experience managing litigation tasks, including scheduling depositions and coordinating with court reporters and clients.
