Status: Regular Part Time

Hours: Up to 24 hours/week

Home Campus: IAHS (fully on-site)

Rate of Pay: $20.56 per hour, plus 4% in lieu of vacation

Reporting to the Program Manager, the Workload Support Officer is responsible for the coordination of the workload planning process of all resources, their allocation and availability in the Nursing Department, in matters of people, budgeting, purchasing, room booking, scheduling/timetable, contracts, absence reporting and coverage associated with orientation and assistance to new employees, including protocols, policies & processes.

This includes preliminary timetable planning, full and part-time employment contracts for Support Staff employee groups and the processing of any additional payment forms for support staff, to ensure employees are paid on the stated dates at the departmental level and liaise with Human Resources and Payroll. This position consolidates these functions for the clinical and lab operational areas in the Nursing Department.

The incumbent will compile and analyse reports related to workload performance, efficiencies (SCH; block assignments and course groupings) and will work with the Program Manager and Associate Dean.

This position will integrate work processes with the program Coordinators of the Nursing Department – for lab and clinical course assignment suggestions and to ascertain all delivery mode and associated lab needs to all deadlines. The incumbent works as a team within this framework and is expected to provide suggestions to improve and streamline processes.

The incumbent will assess needs, determine appropriate document inclusions, update continually to direct information management and associated documents in the ‘Teams’ folder suitable to all shareholders.

The incumbent will inform scheduling of the decisions on assignment of courses by the Program Manager and Associate Dean.

What you’ll be doing:

Coordination and communication of all activities surrounding workload planning, such as scheduling, timetabling, resources and workload planning, and creation of part-time contracts. Specific responsibilities include:

Planning and coordinating workload planning and timetabling information for the Nursing Department:

  • In conjunction with the recommendations of the Associate Dean, develop projections and preliminary space requirements for academic programming, external usage, community use and ancillary rentals on a multi-year planning cycle.
  • Liaison with the Associate Dean, Program manager, program coordinators, program faculty, external partners and the scheduling and timetabling department related to space planning and effective timetabling.
  • Work with the Coordinators in the development of planning tools that link scheduling requirements to course delivery mode, room, specialty lab, blended learning and facility utilization, staff workload planning and future space requirements based on projections of program and enrolment growth throughout planning cycles.
  • Being the primary point of contact for faculty, support staff, partners and external groups for issues related to clinical and lab delivery mode, scheduling, timetabling, and facility usage.

Providing coordination of support staff workload planning, including the planning and production of part-time contracts and monitoring of the impact on budgets as a result of workload creation with specifics such as:

  • Tracking of workload activities for support staff over multi-year periods, which influences and informs future decision making related to effective workload planning and maximization of financial resources to Standard workload agreements.
  • Generation of all part-time contracts based on workloads developed in consultation with the Program Manager and Associate Dean.
  • Liaises with corporate proprietor of SUMMIT (workload & scheduling system) to verify and ensure accuracy of data, and to identify requirements for system improvement. Updates and verifies academic blocks and numbers and correct P.O.S. to system.
  • Handles implications of last-minute changes to staff, workloads, enrolment/section sizes, etc. and works with Program manager and Associate Dean and/or develops local solutions.

Tracking support staff professional development funding applications, conference forms and follow-up reports.

Providing orientation and assistance to new hires:

  • Informs them of relevant College policies and procedures, services and room allocations and college training opportunities/obligations.
  • Providing necessary course, timetable and student information.
  • Arranging for office space, I.D. cards, keys, telephone and email account.
  • Assisting with the electronic college academic systems course tools, class lists, and grading, MyCanvas with other support staff.
  • Assisting with the arrangement of teaching resources and equipment.
  • Creation of documentation and orientation packages that identify and support all part-time support staff in their roles and submission of documentation related to college procedures and timelines.

Complete Academic Planners

  • Tracks all updates to lab, and clinical scheduling.
  • Keep Academic Financial Planner up to date with changes to contracts, pay rates, etc. Ensure accuracy and communicate changes to operations team to ensure changes to costs are tracked for budgeting purposes. Update as contracts change and keep up-to-date information.

Other duties as assigned

  • Ordering and purchasing as required.
  • Coordination of staff and spaces for open houses and tours.

What you’ll bring to the role:

  • A minimum of two-year post-secondary education in Office Administration, Business, Computer Studies or related field’ or equivalent combination of education and experience.
  • A minimum of two years of experience in a similar capacity/role.
  • Computer software specialist including spreadsheet and database software Microsoft Office 2007.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.
