Mission :

The mission of the wholesale customer service and order entry administrator is to provide the exceptional support of our wholesale relationships (with both reps and retailers) that Lover’s Tempo is known for. The ideal candidate will be able to ensure a seamless receipt and processing of orders for timely and accurate delivery.

Job Responsibilities

Order Processing

  • Confirm new orders
  • Send Order Confirmations
  • Send Invoice Confirmations
  • Charge Customers
  • Create Credit Memos

Wholesale Customer Service and Sales Support

  • Manage RAs with wholesale customers
  • Communicate with retailers and reps regarding questions about orders
  • Following up on open back orders with the goal of securing a reorder
  • Ensure company standards for exceptional service are being met
  • Coordinate the B2B Site Approvals Process
  • Oversee the biannual rep sampling
  • Prepare and distribute rep sample kits as required
  • Prepare and distribute monthly commissions
  • Complete open order reports for agencies
  • Coordinate the quarterly rebate process
  • Coordinate all accounts receivable and payment processing
  • Assist with the Carbon Inventory preparations for offsetting
  • Maintain the stockists map in Shopify
  • Prepare wholesale sales reports to be reviewed by management
  • Check Online Store for Orders to Fulfill
  • Picking orders
  • Packing Orders
  • Ship orders

Wholesale Fulfillment

  • Pick and prepack Orders
  • Pack and ship Orders
  • Oversee the incoming Purchase Orders
  • Report on product delays or outages to alert team
  • Alert suppliers (or Elaine) of time sensitivity for specific items
  • Receiving of goods
  • Checking for product consistency and accuracy
  • Reporting on low stock items weekly to nudge vendors Mondays
  • Communicate with non-korean suppliers regarding product defects, changes to packaging standards or other product changes needed.

Reception & Office Administration

  • Provide support or direct the call appropriately

Location :

In Office - Currently located at 4395 Fraser St but moving to 730 Glen drive soon.

Full-time Monday to Friday 9am to 5pm

Candidates must be available to begin training and onboarding starting in July 2025. This position is for coverage during staff maternity leave for 18 months. The contract may be extended but the end date if it is not extended will be in November 2026.
