Job summary

Banque Nationale du Canada, Private Wealth Management 1859, is seeking an organized administrator to support the Private Wealth Advisor. You will manage client files, prepare meetings, and coordinate tasks across departments, ensuring accuracy and timely processing.

You’ll handle inquiries, train colleagues, and stay current on policies and regulatory requirements while contributing to high‑quality service for distinctive clients in a hybrid work setting.

Qualifications

  • Completed college diploma, with a Bachelor’s degree in Business Administration an asset.
  • Five years of relevant experience preferred.

Responsibilities

  • Assist the Private Wealth Advisor in administrative tasks for client accounts.
  • Provide superior customer service and prepare client meetings.
  • Open and maintain client files in compliance with deadlines.
  • Coordinate administrative tasks with operational services.
  • Prepare documents for client meetings and financial transactions.
  • Act as a resource for clients on products, procedures and policies.
  • Guide and train new employees and share knowledge on firm policies.
  • Keep regulatory knowledge up to date and ensure compliance.

Your Role
  • Assist the Private Wealth Advisor in all administrative tasks related to managing client accounts.
  • Provide superior customer service, prepare client meetings, and act as a resource person for questions related to products, procedures, and policies.
  • Open and maintain client files in compliance with deadlines.
  • Coordinate administrative tasks with various operational services to efficiently complete required activities.
  • Perform diverse administrative tasks related to financial transactions.
  • Prepare documents required for client meetings.
  • Prepare tables, memos, letters, and various documents.
  • Act as a resource person for clients.
  • Guide and train new employees, serving as a subject-matter expert and mentor for peers on complex products, procedures, and firm policies.
  • Keep operational and regulatory knowledge up to date.
  • Ensure compliance with rules and risk management.

Requirements
  • Completed college diploma (Bachelor’s degree in Business Administration an asset), along with five years of relevant experience.
  • Studies in administration or office management preferred.
  • Investment Representative license with CIRO.
  • Knowledge of Word and Excel software.
  • Ability to work under pressure.
  • Autonomy, initiative, and attention to detail.
  • Ability and interest in working as part of a team.
  • Strong organizational skills.
  • Strong communication and training skills
