Job summary

City of Vancouver is seeking a Project Management Assistant to coordinate and track deliverables, KPIs, and documentation for the Waterworks Capital Program Management Framework. The role supports planning through closeout and alignment with Engineering PMF and QMS.

The successful candidate will maintain planning documents, monitor milestones, and communicate with stakeholders while supporting continuous improvement of PMF/QMS processes. Hybrid work option available.

Qualifications

• Education and experience as stated: post-secondary degree in Civil Engineering, PM, Quality Management, Planning or related fields, plus several years of project work experience.
• Formal training in project management methodologies (PMI or equivalent).
• Experience using a document control system such as VanDocs.

Responsibilities

• Creates and maintains project planning and execution documentation such as project plans, status reports, risk registers, budget and schedule tracking.
• Tracks and communicates critical project milestones following PMF protocols.
• Follows up with stakeholders to ensure outcomes are delivered and key partners are informed.
• Establishes and maintains liaison with internal/ external contacts; provides information and assistance to staff, public, consultants, and partners.
• Highlights potential risks and issues related to timeline, budget or quality and recommends mitigations.
• Supports development and implementation of Waterworks Capital Program Management Framework.
• Maintains PMF and QMS tools and content for Waterworks Design branch.
• Sets up and maintains the document control system for Waterworks Design documents and PMF/QMS content.
• Tracks PMF and QMS continuous improvement initiatives and compliance for capital projects.
• Creates and presents PMF and Quality related reports to team and senior executives.
