Job description

KEY FUNCTION:
The Wait Time Information System (WTIS) is a web-based application used to track, and report wait
times and efficiency of health care delivery for various services (i.e. surgery, diagnostic imaging, and
emergency departments). This information is used to inform the understanding of the patient journey
through the health system. The coordinator is an integral part of the team responsible for collecting
accurate and timely wait time data to help improve patient flow, resource allocation, and ensure
compliance with Ministry standards.

REPORTING:
Under the general direction of the Vice President of Quality, Clinical Services & CNE

DUTIES:
1. Assist in the generation and build of the WTIS module for St. Joseph’s General Hospital Elliot Lake
(SJGHEL).
2. Ensures timely input and management of wait lists through the booking system.
3. Facilitates awareness of long waiters and prioritizes the booking of these cases in collaboration
with the surgical team.
4. Collaborate with clinical and administrative staff to maintain data integrity.
5. Manage databases and tools used to collect and store wait time information.
6. Troubleshoot technical issues and coordinate with IT or vendors for fixes.
7. Support all internal and external reporting requirements
8. Conduct monthly analysis on WTIS opened cases with respect to wait times, DARTs, and
validation of patient status.
9. Generates and evaluates daily reports from the WTIS application, inputs and troubleshoots any
discrepancies, and resolves failure interface messages sent to WTIS
10. Monitors data accuracy of submitted cases and investigates any discrepancy noted on the WTIS
system by the surgeons’ offices. (e.g., wait list, DARTs, referral dates); works with members of the
OR team to ensure case records are closed
11. Validates accuracy of data going into the WTIS application, including contacting appropriate
parties, as required to verify/validate information
12. Knowledge of the HL7 protocols
13. Supports the monthly submissions of data quality and compliance reports to OH-CCO via Access
to Care (ATC) site
14. Attendance at WTIS meetings
15. Prepares and disseminates WTIS information/data to surgical team and physician offices
16. Completes monthly reporting to the Surgical Target Efficiency Program (SETP) and manages
compliance report feedback.
17. Leads and supports efficiency and innovation projects, participation in regional data quality
improvement initiatives and data sustainability planning.

QUALIFICATIONS

EDUCATION AND TRAINING:
1. Undergraduate degree in health informatics, computer science, business or health related degree
(with a combination of previous working experience and proven database and analytical technical
skills.)

EXPERIENCE:
1. Experience with wait times information system applications is an asset.
2. Experience with data analysis and data integrity.
