Job description

Volunteer Resources Assistant – 30 hours/week

(Friday-Monday)

Scheduled shift times of: 9:00am – 5:00pm & 11:00am – 7:00pm

Contract start: Wednesday, May 21st

Contract end: Saturday, August 30th

Reporting to the Manager of Volunteer Resources & Engagement, the Calgary Humane Society Volunteer Resources Intern is responsible for aiding the Volunteer Coordinators and providing guidance to CHS’ volunteer base which consists of over 600 active volunteers working in over 30 positions at the shelter, as well as external group volunteer days. The Volunteer Resources Intern will assist with the recruitment, screening, selection, training, engagement, and evaluation of individual volunteers and volunteer groups. The successful candidate will possess exceptional interpersonal skills, a passion for people management, helping people, and the ability to motivate and inspire team members.

Duties:

•Work collaboratively with the Manager of Volunteer Resources and Engagement, the Volunteer Coordinators and Group Volunteer Coordinator on every aspect of the volunteer management cycle including planning, role design, recruitment, retention, and recognition of volunteers in individual roles, at special events, and group volunteer days

• Provide day-to-day onsite support to administrative and operation Volunteers

•Facilitate Group Volunteer Days by giving tours, facilitating animal guests and a volunteer task

•Provide follow-up messaging and thank you messages to group volunteers post participation

•Foster strong working relations between staff and volunteers and demonstrate a culture that values volunteer contributions, teamwork, collaboration, and innovation

•Ensure volunteers are informed of all role-specific information (i.e. process updates, safety protocols, statutory holiday scheduling, event needs, etc.)

• Ensure all administrative requirements are met for all volunteers participating in a CHS program or activity ensuring records are stored per privacy standards

•Monitor volunteer hours and attendance

• Support other departments when required, including Adoptions, Store, Reception, and Animal Care

•Work with the Humane Education & Outreach department by participating in community outreach events

• Inspire other departments by promoting a culture of strong volunteer engagement

•Other duties as assigned

Summer Job Requirements:

Calgary Humane Society summer jobs are subsidized through the Canada Summer Jobs program which offers wage subsidies to support employers to create quality summer work experiences for youth aged 15 to 30 years.

To be eligible for this position under the Canada Summer Jobs Program, candidates must meet the position requirements as well as be:

•between 15 and 30 years of age (inclusive) at the start of employment;

•Canadian citizens, permanent residents, or persons to whom refugee protection has been conferred under the Immigration and Refugee Protection Act; and

have a valid Social Insurance Number at the start of employment and be legally entitled to work according to the relevant provincial or territorial legislation and regulations.

•International students are not eligible.

•Minimum high school diploma.

•Minimum of one year of professional or volunteer work experience.

•Ability to commit to the full duration of the term of the position.

•Exceptional interpersonal skills with the ability to approach sensitive and emotional situations using a flexible, compassionate, and non-judgmental approach.

•Genuine interest in the welfare of animals and people and values congruent with the organization.

•Ability to communicate professionally and effectively, both verbally and in writing.

Ability to manage information in a confidential manner and respond with sensitivity to the opinions of others

•Demonstrate resiliency and ability to maintain professionalism in a fast-paced environment

•Any experience with managing and scheduling others is an asset

•Dependable, reliable, and dedicated to completing assigned tasks and meeting deadlines while also demonstrating adaptability to changing priorities and work assignments.

•Self-motivated with strong problem-solving and teamwork skills.

•Intermediate knowledge of Microsoft Office including Word, Excel, Outlook, and PowerPoint.

•Successful candidate will be required to complete a police information check at their own expense to be arranged by CHS.

•Physically capable of, and comfortable handling a variety of species including but not limited to cats, dogs, rabbits, birds, reptiles, and small critters.

Hourly Rate:
•$17.00 + 6% Vacation Pay
