Job summary

The YMCA of Greater Toronto is seeking a Volunteer Representative to support the delivery of volunteer programs at The Steve and Sally Stavro Family YMCA. You will coordinate activities, recruit and onboard volunteers, and ensure records and compliance with YMCA policies.

This contract, part-time, 20 hours per week, includes data reporting, relationship-building with staff and volunteers, and ensuring a positive volunteer experience aligned with YMCA values.

Qualifications

  • Post-secondary education in a related discipline or equivalent experience.
  • Experience generating reports using a database.
  • Volunteer experience or experience working with volunteers is considered an asset.
  • Excellent proficiency in Excel.
  • Experience with Better Impact and Smartsheet is considered an asset.
  • Strong time management skills and ability to meet deadlines.

Responsibilities

  • Coordinate volunteer programs within the Centre, supporting a positive, inclusive, and meaningful volunteer experience aligned with YMCA values and the Y Way.
  • Coordinate volunteer recruitment, onboarding, training, and placement activities, ensuring volunteers are prepared and connected to opportunities.
  • Monitor volunteer compliance requirements and maintain records, screening, training, and documentation.
  • Maintain accurate volunteer records, databases, and reporting systems for data integrity and compliance.
  • Collaborate with centre staff to support volunteer engagement and placements.
  • Support volunteer outreach, recruitment, retention, and engagement activities.
  • Coordinate volunteer feedback and recognition activities and share with staff.
  • Collaborate with staff to implement volunteer practices and resources within the Centre.
  • Perform other duties as assigned.

Join our passionate Health and Fitness team and help us to achieve great things in our community! The Volunteer Representative supports the effective delivery of volunteer programs within the Centre by coordinating volunteer activities and fostering a positive and inclusive volunteer experience. Working collaboratively with Centre staff, supervisors, and the Volunteer Development team, the role helps ensure volunteers are effectively integrated into programs and services while supporting compliance with YMCA standards and requirements. The position contributes to volunteer engagement and the successful operation of Centre programs through strong coordination, relationship building, and administrative support.

In this role, you will:
  • Coordinate volunteer programs within the Centre, supporting a positive, inclusive, and meaningful volunteer experience aligned with YMCA values and the Y Way.
  • Coordinate volunteer recruitment, onboarding, training, and placement activities, ensuring volunteers are prepared, supported, and connected to opportunities that meet program needs.
  • Monitor volunteer compliance requirements and follow up as needed, ensuring volunteer records, screening requirements, training, and documentation are complete, current, and aligned with YMCA policies, standards, and legislative requirements.
  • Maintain accurate volunteer records, databases, and reporting systems to support data integrity, compliance monitoring, and operational reporting requirements.
  • Work closely with Centre supervisors and program staff to support volunteer engagement, address operational needs, and facilitate successful volunteer placements and experiences.
  • Support volunteer outreach, recruitment, retention, and engagement efforts to help maintain active volunteer participation within the Centre.
  • Coordinate volunteer feedback and recognition activities, ensuring volunteer contributions are acknowledged and feedback is shared with appropriate staff to support a positive volunteer experience.
  • Collaborate with Centre staff and the Volunteer Development team to support the implementation of volunteer practices, resources, and requirements within the Centre.
  • Perform other duties as assigned.
What you need to succeed:
  • Commitment to the YMCA’s Mission, Vision and Values
  • Focus on the health, safety and wellbeing of all children, youth, and vulnerable people in YMCA programs including understanding legal and moral obligations related to reporting suspected child abuse to Child Protection Services

You bring:
  • Post-secondary education in a related discipline or equivalent experience.
  • Previous experience generating reports using a database.
  • Volunteer experience or experience working with volunteers is considered a strong asset.
  • Excellent proficiency in Excel.
  • Proficiency with Microsoft computer applications, including Copilot.
  • Previous experience and knowledge of Better Impact and Smartsheet is considered an asset.
  • Strong time management skills.
  • Ability to meet deadlines and work independently to perform regular duties.
  • Excellent attention to detail.
  • Sound judgment with the ability to maintain a high degree of confidentiality.
  • Ability to respond to inquiries and communicate with volunteers, staff, and community members in a professional and timely manner.
  • Well-developed interpersonal and relationship-building skills with the ability to establish rapport and communicate effectively with members, staff, and volunteers.
  • Excellent written and verbal communication skills.
  • Commitment to diversity, equity, inclusion and building a sense of belonging.
