LOCATION: Home Office (Candidates are required to reside in Ontario and maintain a private and safe workspace, and have a high-quality internet connection)

HOURS OF WORK: 35 hours/week

Role

Reporting to the Manager, Small Business & Industry Partnerships, the Volunteer Programs Lead is responsible for overseeing the execution, administration and evaluation of WSPS volunteer programs in support of our strategic objectives. The Volunteer Program Lead will ensure that programs are delivered and evaluated consistently and contribute to the overall delivery/channel strategy for the small business segment serviced by WSPS.

Key Responsibilities

Note: Percentages refer to approximate % of time spent on each area, over the course of a given year.

1. VOLUNTEER & COMMUNITY PROGRAMS OVERSIGHT (55%)

  • Work with internal stakeholders such as to plan various engagement activities
  • Use industry accepted principles of volunteer management to oversee the execution of Volunteer and Community programs
  • Develop and execute recruitment, retention and recognition strategies, including professional development and new volunteer orientation for incoming volunteers
  • Co-ordinate and execute annual outreach plan in alignment with organizational objectives
  • Set schedule and prepare agendas for Volunteer Council and WSPS Volunteer meetings
  • Plan and prepare regular communication for Volunteers
  • Prepare annual report of activities for Board of Directors
  • Collaborate with Solutions Development in the development and revisions of programs, as required

2. RELATIONSHIP BUILDING (20%)

  • Ensure program details are shared and promoted across the organization
  • Develop and maintain working partnerships with key stakeholders internally and externally (including various departments and outside agencies) -
  • Establish, build and maintain relationships with internal and external volunteers to ensure regular communication on key initiatives
  • Develop and maintain working partnerships with key stakeholders such as system partners and external volunteer associations to advance WSPS objectives
  • Be available to staff and volunteers as a coaching resource, in the event they are unable to attend a scheduled volunteer and community program event

3. PROGRAM EVALUATION (25%)

  • Prepare program forecasts and monitor and report on results
  • Ensure the accurate entry and maintenance of central records of volunteers and document participation (hours) for recognition of volunteers
  • Work closely with ODP and other divisions to develop metrics and measure volunteer activities in order to evaluate the contribution to WSPS strategic objectives and to meet funder reporting requirements
  • Participates in the operational monitoring, field visits, customer/volunteer feedback, business/community associates, and internal stakeholders
  • As a Process Lead of Manage Volunteer Resources, assist the process owner with the planning, implementation, maintenance and continual improvement (PDCA cycle) of WSPS Management System as indicated in the PDCA Checklist, in order to support the achievement of corporate quality, health and safety and other objectives.

4. CONTRIBUTES TO A HEALTHY AND SAFE WORK ENVIRONMENT (at all times)

  • Complies with all Health and Safety policies, procedures and company rules established in WSPS Occupational Health and Safety Management System (OHSMS).
  • Contributes to promoting a healthy, safe, and respectful culture.
  • Complies with the Occupational Health and Safety Act and regulations.

Skills and Experience

Minimum:

  • Relevant post-secondary education or completion of a recognized Volunteer Management Certificate program
  • 3-5 years related experience or equivalent combination of education and experience in the area of Volunteer Management
  • Strong relationship building skills and business acumen; excellent interpersonal skills and the ability to work collaboratively with staff at all organizational levels
  • Excellent communication (oral and written) skills
  • Proficient in Microsoft Office suite, including Word, Excel, PowerPoint and Outlook

Preferred:

  • Post graduate certificate/diploma areas of volunteer management
  • Certificate in Volunteer Administration considered an asset
  • 7+ years related experience or equivalent combination of education and experience in the area of Volunteer Management preferred

Additional Requirements:

  • Candidates must live in Ontario or National Capital Region, maintain a private and safe workspace, and have a high-quality internet connection.
  • Valid Driver’s License
  • Access to a vehicle that meets minimum MTO safety standards
  • An all-employee meeting (Staff Days or equivalent) will be organized annually. All employees are required to attend the annual meeting in person. Occasional team meetings may be required in person.
