RS Breakers & Controls is seeking a Virtual Executive Assistant who will play a pivotal role in ensuring the smooth functioning of the President's/Owner’s day-to-day schedule, handling a wide range of administrative and executive support tasks. The successful candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role is fully remote, requiring excellent communication and self-management skills.

What You’ll Do

1. Proactively manage and plan the President's schedule, appointments, meetings, conferences, events, and presentations, ensuring all logistical details are handled seamlessly.
2. Organize the President’s daily schedule for efficient time management.
3. Anticipate scheduling conflicts and prioritize commitments effectively.
4. Serve as the primary point of contact between the President and internal/external stakeholders.
5. Monitor, draft, and proofread emails, reports, and other correspondence on behalf of the President.
6. Prepare meeting agendas, materials, and follow-up documentation.
7. Coordinate domestic and international travel bookings and arrangements for the President.
8. Prepare detailed itineraries and ensure travel plans align with the President's schedule.
9. Assist the President in various projects and trade shows, handling logistics remotely.
10. Provide research and analysis, create expense reports, and support budget planning.
11. Maintain accurate records, databases, and digital filing systems.
12. Support virtual event coordination and digital communication efforts.
13. Perform various ad hoc administrative tasks as needed.

What We’re Looking For

1. Minimum 10 years of experience as an executive assistant or similar role supporting c-level executives.
2. A diploma or certificate in administration is an asset.
3. Exceptional organizational and time-management skills.
4. Strong written and verbal communication skills.
5. Ability to handle confidential information with discretion and sensitivity.
6. Self-motivated and capable of working independently in a remote setting.
