YOUR ROLE

As the Virtual Executive Assistant, you will support Kim’s personal brand, manage client and audience relationships, and ensure smooth daily operations. Your responsibilities include:

  • Managing Kim’s time, schedules, calendar, meetings, travel, and logistics.
  • Sending action emails, prioritizing items, prompting responses, and following up on deliverables, including reminders and calendar updates.
  • Anticipating support needs and proactively managing tasks with input from the Executive.
  • Maintaining confidential files and records.

SPECIFIC RESPONSIBILITIES

  • Managing and updating the client and task database in HubSpot.
  • Preparing and distributing the weekly newsletter via Mailchimp.
  • Updating Kim’s website with new articles, newsletters, podcasts, and webinars.
  • Coordinating bi-monthly webinars: scheduling, promotion, managing registrations and payments, and follow-up.
  • Drafting and editing documents and PowerPoint presentations for speaking engagements.
  • Supporting event planning for retreats, meetings, or private events.
  • Promoting Kim’s personal brand on social media platforms like LinkedIn, YouTube, Instagram, and TikTok.
  • Providing ad hoc administrative support as needed.

QUALIFICATIONS

  • Post-secondary education in business administration, marketing, or a related field preferred.
  • At least 2 years of related executive assistant experience.
  • Proficiency in tools such as WordPress, Outlook, PowerPoint, Zoom, HubSpot, Vimeo, Calendly, Canva, Gamma, ChatGPT, Grok, and MailChimp.
  • Flexibility and ability to manage competing priorities in a fast-paced environment.
  • Strong work ethic, discretion, initiative, clear communication, and independence.
  • Excellent attention to detail, analytical skills, and ability to maintain confidentiality.
  • Strong verbal and written communication skills, capable of engaging with technical and non-technical audiences.
  • Tech-savvy with superior organizational and time management skills.
