Founded in Calgary, Alberta in 2007, CATF operates with a small team of paid staff and relies heavily on a larger network of dedicated volunteers to deliver our animal welfare programs. About the Role

We are are seeking a skilled and compassionate leader to manage the day-to-day operation of our new veterinary hospital. This is a non-clinic, management-focused role.

Veterinary clinic experience is not required, though it is considered an asset. The ideal candidate brings proven leadership and operational experience in dynamic, fast-moving environments-whether in animal welfare, healthcare, logistics, events, or non-profit settings. If you are organized, decisive, calm under pressure and driven by purpose, this role could be for you.

In this role, you will be responsible for managing a veterinary hospital in a high-quality, high-volume clinical environment. Your expertise will directly impact the day-to-day operations of the facility, and you will have the opportunity to work with a diverse clientele, providing education and support.

More specifically, the scope of your responsibilities will include but are not limited to :

People Management

  • Hiring qualified staff, including veterinarians, veterinary technicians, and administrative personnel.
  • Ensuring that all staff members are trained in best practices, safety procedures, and customer service.
  • Creating and managing employee schedules to ensure adequate coverage, supervising day-to-day activities, and fostering a positive work environment.
  • Conducting performance evaluations, handling disciplinary issues, and encouraging professional growth.
  • Preparing and managing the hospital’s budget, including monitoring income and expenses to ensure profitability.
  • Ensuring accurate billing for services provided, overseeing collections, and managing accounts payable / receivable.
  • Manage inventory, order supplies, and maintain relationships with vendors.

Operations and Facility Management

  • Ensuring that the hospital is clean, safe, and well-maintained, addressing repairs and improvements as needed.
  • Ensuring that medical and office equipment is maintained, calibrated, and compliant with regulations.
  • Developing efficient workflow processes to maximize productivity and minimize wait times for clients.

Client Relations and Customer Service

  • Managing appointment scheduling and handling complaints or concerns professionally.

Compliance and Regulatory Management

  • Ensuring compliance with OSHA, veterinary board requirements (including PIPS), and other safety and health regulations.
  • Maintaining accurate patient and business records, ensuring data privacy compliance, and preparing reports as needed.

Strategic Planning and Growth

  • Working with BOD and Executive Director or the leadership team to set practice goals, monitor key performance indicators (KPIs), and assess progress.
  • Staying updated on veterinary industry trends, technology advancements, and client expectations to keep the hospital competitive.
  • Assisting in planning for hospital growth, including facility expansion, adding new services, or upgrading equipment.

Technology and Information Management

  • Managing and optimizing the use of veterinary practice management software for scheduling, billing, and record-keeping.
  • Implementing protocols for data security and protecting patient and client information.
  • Integrating telemedicine and digital communication solutions where appropriate for client convenience.

Requirements

To qualify, you will need at least the following :

  • Minimum 3 years of experience in a leadership, operations, or logistics role
  • Strong verbal and written communication skills with a commitment to providing excellent client service and education.
  • Genuine empathy and a passion for animal welfare.
  • Ongoing dedication to professional development and staying updated on best practices and advancements in veterinary medicine and business management.
  • Strategic thinker with adaptability and results-driven mindset.
  • Deep commitment to our organization's mission and values.
  • Proficiency with Google Workspace and Microsoft Office.
  • Effective at building relationships with diverse stakeholders, including discretion.
  • Self-motivated, solution-focused, and flexible team player.
  • Exceptional attention to detail and record-keeping.
  • Strong analytical and critical thinking skills.
  • Excellent planning and organizational abilities.
  • Kind, patient, and flexible in handling change positively.

Although not required, we consider the following to be valuable assets :

  • Experience in a veterinary practice or in animal welfare.
  • Experience in high-volume, high-quality spay / neuter settings.
  • Proficient in providing contextualized and spectrum of care veterinary medicine.
  • Experience working with marginalized socioeconomic groups, demonstrating cultural competency and empathy.
  • Experience with non-profit operations.
