The Opportunity
We are seeking a dedicated and detail-oriented Veteran Care Coordinator to join our team. Reporting to the Director, Strategic Partnerships Vets/MVA you will play a key part in supporting veterans by coordinating medical cannabis coverage, managing appointments, assisting with documentation submissions, and ensuring seamless communication with Veterans Affairs Canada and Medavie Blue Cross. This position offers a unique opportunity to work closely with healthcare professionals and make a meaningful impact in the lives of veteran patients who served our country and suffered as a result.
Responsibilities
- Support veterans in their medical cannabis journey through appointment scheduling, triage, education, and ongoing assistance with Veterans Affairs Canada (VAC) coverage.
- Assist Apollo staff working in Allied Healthcare partner offices by providing guidance and support.
- Manage calls and emails directed to to the Veteran phone line or email account.
- Coordinate patient coverage by submitting registrations and supporting documents to Licensed Producers (LPs), verifying interim coverage eligibility, submitting required documents to Medavie Blue Cross, and arranging vaporizer coverage when needed.
- Handle inquiries from Medavie Blue Cross and VAC regarding patient information, invoice submissions, and payment-related issues.
- Manage patient requests for Licensed Producer changes and/or coverage splits, ensuring timely follow-up with Medavie Blue Cross to prevent disruptions.
- Schedule and prepare for specialist appointments, ensuring all relevant documentation is on file.
- Provide in-depth education and support to patients, ensuring proper document processing and scheduling of follow-up appointments.
- Conduct proactive follow-ups with veteran patients to monitor treatment progress, address medication access issues, and diligently track outcomes in the EMR and relevant tracking documents.
- Monitor expiration dates for prescriptions, exceptional coverage, and vaporizer coverage, taking proactive steps to prevent lapses.
- Collaborate with clinic teams to expedite patient care and enhance the overall patient experience.
- Maintain and update patient trackers, ensuring accurate documentation of patient numbers, order confirmations, prescribed dosages, expiration dates, and vaporizer coverage.

Experience
- Exceptional attention to detail and strong organizational skills.
- Knowledge of Licensed Producers and available medical cannabis products.
- Ability to educate patients on cannabis strains, consumption methods, and titration.
- Strong problem-solving skills in a fast-paced environment.
- Excellent communication skills, both verbal and written.
- Ability to adapt to changing priorities.
- Familiarity with medical terminology and pharmacology (an asset).
- Experience with EMR systems, Microsoft 365, Google Suite, and QuickBooks.
- Compassionate, patient-focused approach with strong interpersonal skills.
- Ability to work independently while also being a collaborative team player.
- Ability to work at least 5 hours each Saturday as part of regular shift schedule.
