Job description

This is a hybrid role based in Ottawa, Canada.

Position Summary

As a Vendor Manager/vendor management and receiving clerk, you will oversee the entire vendor management process and financial operations up to, but excluding, invoice payment. Your responsibilities include communicating with internal and external teams regarding quotes, invoices, procedures, and budgets. You will advise on account statuses regularly. Your duties will include vendor compliance, purchase requisition and order preparation, invoice submission, contract management, and budget reconciliation.

Key Areas of Responsibility
  1. Coordinate stakeholders and vendors for quotes and contracts receipt.
  2. Validate quotes and contracts with internal teams and ensure vendor compliance.
  3. Maintain vendor data in Confluence.
  4. Enter Purchase Requisitions and Invoices promptly and accurately using Oracle ERP.
  5. Track renewals and requisitions regularly.
  6. Assist in preparing annual budgets and maintain budget spreadsheets for each transaction.
  7. Serve as the point of contact for resolving vendor concerns.
Basic Qualifications
  • Knowledge of finance principles.
  • Experience in budget tracking and maintenance.
  • Familiarity with Oracle iProcurement (preferred).
  • Experience with Confluence (preferred).
  • Proficiency in Microsoft Excel for data manipulation and calculations.
  • Strong customer service and communication skills.
  • Ability to multitask across multiple projects.
  • Familiarity with SaaS platforms (preferred).
  • Effective communication and collaboration skills with stakeholders.
  • Ability to work independently and adhere to timelines and SLAs.
