This position is based out of Toronto. McCarthy Tétrault employees benefit from a hybrid work environment.

As a Vendor Analyst, you will be :

  • Creating and issuing contract extensions using templates, ensuring all necessary parties have signed, submitting records to vendors, and entering them into the Firm’s database.
  • Entering all vendor information into the VMO Database / Coupa P2P, including documentation such as POs, NDAs, MSAs, SOWs, and budget sheets.
  • Creating monthly Vendor Spend Reports, matching results with budgets, and investigating discrepancies.
  • Collaborating on SOW creation and revision with internal and external parties.
  • Engaging in vendor meetings to support and evaluate vendors.
  • Coordinating with internal and external partners for project-related and BAU purchases.
  • Managing vendor escalations as needed.
  • Creating sourcing documents like RFPs, RFQs, and RFIs.
  • Following security protocols, liaising with vendors and IT Security for assessments and questionnaires.
  • Investigating shipment issues with vendors.
  • Preparing vendor analysis reports for directors.
  • Facilitating timely contract extensions before expiry.
  • Researching contractual documents for relevant details.

Procure to Pay and Spend Control Management

  • Managing invoices via Coupa P2P, ensuring timely payments.
  • Logging and matching invoices with POs, verifying accuracy.
  • Investigating invoice discrepancies and overdue payments.
  • Obtaining quotes for IT purchases to ensure competitive pricing.
  • Training users on Coupa P2P processes.
  • Managing the P2P system, including templates, user profiles, and vendor data.
  • Supporting day-to-day tasks with updated documentation.
  • Monitoring Coupa daily for invoice and contract issues.

Subscription and Service Renewals Management

  • Managing subscriptions and renewals, verifying necessity, costs, and terms.
  • Monitoring rising costs and negotiating lower prices.
  • Updating Coupa and tracking renewals proactively.

As our ideal candidate, you will have :

  • An undergraduate degree or college diploma in business, finance, or a related field (preferred but not required).
  • At least 6 years of experience in procurement or financial environments.
  • Strong interpersonal and client service skills, comfortable with senior stakeholders.
  • Ability to maintain confidentiality and demonstrate excellent communication skills.
  • High attention to detail, analytical skills, and a proactive attitude.
  • Exceptional organizational and multitasking abilities under pressure.
  • Strong relationship-building skills.
