Job summary

Northview Residential REIT in Fort McMurray, AB is seeking a Unit Renovation Coordinator to support capital projects and vacant unit turns across a portfolio. You will coordinate work orders, track unit status, and collaborate with Leasing, Renovations, and vendors to ensure timely completion.

The role requires coordinating multiple projects, managing schedules, and ensuring documentation accuracy while maintaining high standards and regulatory compliance.

Qualifications

• Post-secondary education in business administration, property management, construction management, project administration, or a related field is an asset.
• 3+ years of experience in property management, building maintenance, renovations, CapEx coordination, or a related environment.
• Experience coordinating unit turnovers, renovations, maintenance activities, contractors, or multiple concurrent projects.
• Experience obtaining and reviewing contractor quotes, coordinating purchase orders, and tracking project costs and completion is an asset.
• Experience working with spreadsheets, project trackers, work order systems, and related administrative tools.
• Experience in residential property management or multi-family housing is an asset.

Responsibilities

• Coordinate and distribute work orders for vacant unit turns to cleaning, maintenance, renovations, grounds staff, and contractors.
• Manage and maintain vacant unit tracking, including unit status, scopes, timelines, and completion information.
• Prepare and distribute pre-move-out and move-out inspection notices, conduct move-out inspections, and maintain related records.
• Scope vacant units to identify required work and ensure accurate reporting of unit status and renovation requirements.
• Schedule unit turn staff and coordinate workforce to support efficient completion of unit turns under the direction of the appropriate leader.
• Work with Leasing to assess current unit demand and support prioritization of unit turn activities.
• Coordinate contractor quotes, standardized pricing, purchase orders, scheduling, and completion of unit renovation work.
• Oversee contractors during unit renovations and follow up on work from commencement through completion.
• Coordinate with management, vendors, and contractors to address issues and ensure timely completion of renovation and CapEx work.
• Assist with the coordination and scheduling of renovation and CapEx assignments and the preparation of reports for unit renovations and capital projects.
• Monitor completion of work through reports, site inspections, and communication with management and vendors.
• Co-host biweekly toolbox meetings and communicate unit turn priorities, requirements, and outstanding items to staff and contractors.
• Coordinate accessories and supplies required for furnished suites and distribute weekly vacant unit lists to unit turn teams.
• Establish and maintain project files, records, and confidential information, preparing routine correspondence, reports, and project documentation.
• Respond to and coordinate inquiries from Corporate, on-site team members, suppliers, contractors, and other stakeholders

We are looking for a Unit Renovation Coordinator to join our Residential team in Fort McMurray, AB. Reporting to the Maintenance Supervisor, supports the coordination and completion of capital projects, unit renovations, and vacant unit turns across a designated portfolio of Northview’s residential properties. This role coordinates work orders, inspections, contractors, schedules, materials, and project documentation while working closely with internal Renovations and Leasing teams, contractors and vendors to keep work progressing efficiently. Through effective project coordination, accurate tracking, and timely follow-up, the Unit Renovations Coordinator helps ensure units and capital projects are completed to established standards, timelines, and operational requirements.

• Strong attention to detail and accuracy when tracking unit status, scopes, inspections, work orders, and project documentation
• Ability to assess work requirements, identify issues, and coordinate appropriate follow‑up
• Strong follow‑through, with the ability to monitor work, outstanding items, and deliverables through to completion
• Ability to work independently while collaborating effectively with site and Corporate teams
• Ability to conduct site and unit inspections and work in vacant and occupied residential properties
• Valid driver’s license and ability to travel between properties as required
• Ability to provide a clear criminal record check free from relevant convictions
