*This position is currently hybrid and is required on campus a minimum of 3 days per week (could require more during busy times.)

Potential CPI increases every Jan 1 and step increase May 1 until at top rate.

OVERVIEW

The MSU represents full-time undergraduate students at McMaster University. The MSU’s purpose is to draw into a true society all students at McMaster University. In pursuit of this, it will foster activities and events which will enhance the University experience of its members and contribute to the life of the University as a whole. Further, it will seek to facilitate communication between the student body, the University and other organizations and will organize and regulate student self-government.

Operating as a not-for-profit incorporated entity, the MSU is a unique organization with a wide spectrum of activities. The Underground Media + Design Manager is responsible for the management and direction of the Underground Media + Design department. They are responsible for providing quality media, design, printing and copying services for the MSU, McMaster University, and other clientele with the key objective of being a net-revenue generating business unit for the McMaster Students Union, while maintaining
a high level of service.

This role requires being well versed in both front and back of house operations of a multi-media driven service. The Underground Media + Design Manageris the primary budget manager of the department, relied on to set revenue and service targets along with meeting the long-term objectives for the business unit. In addition, the role is responsible for managing and maintaining relationships with clients and ensuring the effective preparation of quotes for both internal and external clients regarding printing & graphic design. An experienced mix of production, design and management skills are required for this role to complement a customer service passion. This role manages a team of dedicated staff focused on graphic & media design, print production and customer service.

KEY RESPONSIBILITIES

Design & Production Function

  • Coordinate all aspects of print production jobs including but not limited to quoting, production and delivery for internal and external clients.
  • Work with the Communications Department to develop a consistent MSU brand.
  • Obtain quotes from various third-party vendors for outsourced work and estimates for sub-contracting of printing jobs.
  • Act as a final quality checkpoint for production of all major design and print projects.
  • Delegate design requests to designers
  • Aid in the design and production of high quality professional works.
  • Ensure completion ofinternal and external projects as required
    and provide periodic updates to the General Manager.

Supervisory Function

Hire, train, mentor and discipline staff when necessary.

  • Schedule shifts for all part-time employees.
  • Ensure all MSU, labour & other regulatory policies are adhered to.
  • Delegate various tasks to employees on a regular basis.

Administration Function

Plan the annual working budget for Underground Media + Design.

  • Maintain the POS system, ensuring accuracy and preparing regular reports.
  • Responsible for a bi-weekly payroll and approval of time sheets.
  • Preparation of purchase orders, standing orders and capital expense requests.
  • Ensure ordering of paper and supplies is done on a regular basis as needed.
  • Ensure all invoices owing are paid accurately and on time.
  • Inventory and cash management control.
  • Preparation of all internal and external invoices and monthly reports for the accounting team.
  • Oversee all production equipment and coordinate service and maintenance as needed.
  • Manage and maintain the digital campus screen network to ensure all internal and external advertising is displayed as scheduled.

Other

  • Maintain close communication with the accounting department, General Manager and the Board of Directors to ensure efficient and profitable management of the Underground Media + Design.
  • Develop and maintain positive relationships with suppliers and negotiate various contracts as required.
  • Continual analysis of product mix, margins, operations and new opportunities.
  • Research and recommend new products and services that may be viable for Underground Media + Design.
  • Responsible for dealing with other routine and non-routine duties that come into play in the daily operation of the department.
  • Other duties as assigned and as time permits.

QUALIFICATIONS

This role requires a proven record as a collaborative leader within an organization of relevant activity and scope and a passion for working with students in a high-energy, learning, dynamic environment.
The following qualifications are minimum expectations for the successful candidate:

  • Strong design and production background required.
  • Strong knowledge and skill set related to the graphics and printing industry.
  • 3-5 years experience in a management capacity.
  • Must exhibit strong business acumen skills; be able to demonstrate flexibility and adaptability to change, and an ability to manage people, time and resources.
  • Post secondary design program an asset.

Knowledge, Skills and Abilities

  • Must have strong interpersonal skills to effectively communicate with a variety of different people including clients, students, part-time staff, full-time staff, peers, and superiors.
  • Excellent supervisory skills are required to direct and encourage employees to work effectively.
  • Must have the ability to train staff on the operation of print production machines & finishing equipment.
  • Must have a business acumen to manage financial controls, pricing and oversee inventory.
  • Knowledge of basic business procedures/principles, including human resources, marketing, management, and accounting.
  • Must be able to work in a fast-paced environment with minimal direction.
  • Must be familiar with
    current design trends and mediums.
  • Must be up to date on all health and safety legislation such as WHMIS.
  • Must maintain a high degree of accuracy and attention to detail through the completion of jobs.

Effort

  • Jointly responsible for all day-to-day operations and long-term planning in conjunction with the General Manager and Board of Directors, with consideration to anticipated business activity.
  • High degree of multi-tasking required.
  • Ability to make decisions quickly.

  • Must be able to work effectively and creatively through constant interruptions of varying severity.
  • Lifting while stocking shelves or putting away deliveries may be required.
  • Time demands may exceed stated hours of work.
