Our Court Reporters offer the highest professional standards in out-of-court examinations, arbitrations, certified court transcripts and more. In this role, you'll work directly with our Court Reporters and Transcriptionists. A degree or diploma in English, communications, publishing or translation will prepare you to assist with high-level tasks. Attention to detail is essential given the importance of accuracy in this position. Strong English writing and communication skills are also necessary as you'll be working directly with clients.
The Production Coordinator is responsible for the timely coordination and facilitation of every Arbitration Place transcript being delivered to clients in a timely manner, with 100% Gold-Standard accuracy. The Production Coordinator is both hands-on operational in the correcting, editing, and formatting of final certified transcripts to highly specific standards, as well as administrative in the assessment of operational volume and delegating transcript production to team members, updating client invoicing, and completing scheduling and reporting data entry. In addition, Production Coordinators can be expected to participate in meetings with clients and contract proposals to develop highly personalized standards that meet the unique needs of each client. Responsibilities
- Running reports and deciphering of operational tempo
- Managing own and team members time and project priority to meet client deadlines
- Participation in contract bid submissions
- Participation in client meetings
- Development of solutions and other problem-solving for unique client requests
- Monitoring and reporting of deficiencies in systems or resources in accordance with standards and guidelines
- Data entry on plethora of internal reporting tools
- Updating client invoicing in accordance with transcript submissions
- Format legal verbatim transcripts according to quality control standards and format guidelines that are highly specific to each client and contract
- Review and correct transcripts for spelling, punctuation, and grammatical errors
- Convert transcript files to electronic format according to set guidelines
- Apply accessibility requirements to final certified transcripts, to the specification of each client request
- Editing, scoping and proofing of Real-time proceedings with highly expedited turnaround of final certified transcripts
- Validation of transcripts against proceeding audio for accuracy
- Coordination of revisions with Court Reporters and Transcriptionists
- Maintain organized electronic and hardcopy filing system for all transcript files and conversions
- Maintain strict confidentiality and adhere to privacy laws and regulations, especially when handling sensitive information such as medical records or legal documents
- Manage time effectively to meet tight deadlines and deliver transcriptions promptly
- Collaborate closely with clients or colleagues to clarify instructions, discuss project requirements, and address any concerns
- Stay updated on industry standards and best practices in transcription
- Identify opportunities for improvement to formatting processes
- Provide training to new team members, and participate in new training opportunities within the role
Qualifications
Educational Requirements
- Degree or Diploma in English, communications, publishing, translation or a related field
- Certificate or education in scoping, transcription, and / or court reporting
Mandatory Skills
- Excellent written and verbal communication skills in English (Fluent – Advanced)
- Proficiency in Case Catalyst and / or Eclipse softwares
- Strong writing / editing / proofreading skills
- Ability to work with the highest level of confidentiality
- Exceptional eye for detail
- Proficiency in MS Office, MS SharePoint, Adobe
- Professional, patient, people-first attitude
- Ability to prioritize and multitask
- Ability to follow and apply step by step instructions
- Excellent performance under tight deadlines in fast paced environment
Preferred / Asset
- ACT Designation (Ontario)
- Steno-Officiel de Quebec
- BC Official Reporter registry
- Fluency in French and / or Spanish an asset
- Experience with RealLegal
- Experience with Stenograph or Advantage tools for ASR or real-time scoping
- Experience with Quickbooks Desktop
- Experience with RB9 (Reporter Base 9 scheduling software)
Requirements
- Must be a Canadian citizen
- Must reside and complete work in Canada
- Must have or be eligible for Reliability Status (security clearance)
- Must be eligible for Top Secret Status (Ottawa- Hybrid only)

- Pay: $55,000.00-$67,500.00 per year
