What you will do

This position coordinates the flow of documentation from the agent to the office, to solicitors and other real estate companies involved in the contract. It requires maximum attention to detail and high organizational skills. This person must give high attention to the details of the contract and the flow of information. eXp Realty is a fast-paced environment, and candidates must be extremely organized and able to manage their time efficiently.

The Transactions Analyst is a self-starter, thorough, task-oriented, able to connect with all personalities, supportive, solutions-focused, follows procedures, and non-confrontational. They should have strong attention to detail, enjoy working with facts and systems, work well in front of a computer for extended periods, and prefer a team setting. Excellent verbal skills and calmness under pressure are essential.

Responsibilities include
  1. Processing deal files from entry to closing, including listing contracts when necessary.
  2. Reviewing contracts and documents in Skyslope, data entry into BackOffice, calculating commissions, verifying MLS data.
  3. Processing various transaction types: Residential, Commercial, Leases, Service/Fee Agreements, Referrals, Cancellations.
  4. Requesting additional documentation from agents, confirming all documentation is in Skyslope before closing, and following up on missing paperwork.
  5. Generating trade records, ensuring deposit info accuracy, conveying instructions to solicitors, and reporting issues.
  6. Maintaining communication with team members, responding to inquiries professionally, and attending training and meetings.
  7. Managing workload, updating job knowledge, collaborating remotely, and taking ownership of tasks.
How you will grab our attention
  • High school diploma or equivalent experience.
  • Legal real estate conveyancing experience preferred.
  • Knowledge of Canadian real estate transaction requirements and provincial processes.
  • Proficiency in Excel, Transaction Desk, Publisher, PowerPoint, LoneWolf is an asset.
  • Responsible, dependable, trustworthy, organized, and detail-oriented.
  • Ability to build relationships with agents, lawyers, notaries, brokers.
  • Works well under time constraints, adaptable, capable of processing 200-300 transactions.
  • Minimum of 35 new deals processed weekly.
  • Excellent communication, critical thinking, problem-solving, and remote work skills.
  • Dedicated home-office space and aptitude for online platforms.
