Job description

The Total Rewards & People Specialist is the first point of contact for employee inquiries related to payroll and benefits as well as being responsible for the integrity of compensation and people practices, ensuring consistency and equity in the application of programs and policies. This role provides analytical and technical support for the management of a competitive total rewards program, while contributing to an exceptional employee experience.

RESPONSIBILITIES

Payroll

  1. Manage full payroll cycle processes for all brewery staff from verifying hours to completing reconciliations and garnishments as well as any manual updates and special payroll runs ensuring accuracy and compliance with applicable legislation.
  2. Provide support to brewery team members as first point of contact on any payroll and time attendance within the HRIS, GRSP and group benefit inquiries.
  3. Coordinate with the People team to maintain accuracy of payroll system information including entering new employee information and any changes to current filing ensuring total compensation adjustments and personal information are correct and up to date.
  4. Work with the Finance team, in providing accurate payroll and remittance information, and assist in annual auditing processes.
  5. Manage T-4 and Record of Employment process including preparation, processing and distribution of documents as required.
  6. Develop reports and analysis related to HRIS, benefits and payroll in addition to any related ad hoc reporting as required.
  7. Prepare complete and accurate annual bonus and merit process files for review and approval by Director of People & Culture and Vice President of Finance; prepare annual staff total compensation letters.
  8. Working closely with the Director of Culture & Community to maintain and update the Pay Equity file and pay bands including providing reports and completing annual reviews.
  9. Support the job evaluation process assisting in determination of job value/worth, classification and appropriate compensation that is aligned with internal comparators and compliant with legislative and brewery policy requirements.
  10. Maintain updated knowledge on payroll legislation and best practices updating policies and procedures as required.

Benefits & RRSP Programs

  1. Administration of Health Benefits and Group Retirement Savings program including new hire entry and personal information changes (incorporating adjustments into the payroll system).
  2. Provide information and support to the team on the programs.
  3. Participate in plan negotiations with the Director of Culture & Community.
  4. Reconcile benefits premium deductions and billing statements monthly.
  5. Lead and develop policies and best practices to ensure accurate and timely collection and administration of information needed for payroll, benefits, RSP, and other adjustments.
  6. Research and makes recommendations on Total Rewards legislative issues, best practices market competitiveness and emerging trends.

People Support:

  1. Work with the people team to develop key up to date reports ensuring resources and objectives are met on an annual basis. Reports include but not limited to demographics, performance and career development, training, recruitment results.
  2. Working closely with the People Specialist & Director to ensure key information is collected, accurate and administered into the system. This will include personal updates, training documents and tracking, staffing reports etc.
  3. Complete all people database adjustments including employment changes, personal information, training records, and compensation adjustments.
  4. Recruitment and Selection: support summer recruitment programs including attending job fairs, screening, and interviewing candidates.
  5. Manage Orientation and Onboarding program: Develop and organize onboarding schedule, conduct new employee orientation ensuring required forms are completed and people policies have been communicated.
  6. Training and Development: Manage training tracking system to ensuring timely completion of training plans and training, track safety and CFIA training expirations.
  7. Safety: Support People & Safety Specialist with program development, JHSC activities, audit process as well as training.
  8. Employee Engagement: Support all activities related to team building including assisting with Service Award program; development and distribution of employee surveys; event planning and communications.
  9. Assist the Director of Culture & Community with “Applauz” – Employee Recognition Program, and annual service awards. Complete an annual evaluation of the programs and research new sources and programs available in the marketplace.
  10. Support employee relations activities assisting with complaints and investigation process.
  11. Build positive relationships and support team engagement by driving the authentic culture and values of the brewery through day-to-day communications.
  12. Maintain an open door and provide support to all team members in relation to people and payroll practices and provide the people team with on-going recommendations for enriching our workplaces.
  13. File maintenance: maintain accurate records, ensure tracking matrix is updated and work closely with reporting managers to ensure proper documentation.

QUALIFICATIONS

  1. Successful completion of an applicable College diploma or University degree with a PCP certification with the Canadian Payroll Association; Successful completion of a Human Resources program is highly desired as well.
  2. A minimum of 3-5 years’ experience in payroll administration and pay legislation, preferably within a manufacturing setting.
  3. Proven expertise in Payroll Software preferably UKG as well as intermediate skill level in MS Office (Excel, Word, PPT).
  4. A minimum of 1 year of Human Resources experience including recruitment, safety, training, employee relations etc.
  5. Previous experience in social media and internet recruitment resources.
  6. Detail-oriented, organized, multi-tasker with great follow-up.
  7. Excellent written and verbal communication and interpersonal skills.
  8. High level of integrity with a strong work ethic.
  9. Strong team player with a willingness and interest in all aspects of the brewery business.
  10. As a representative of the brewery culture and the brand, you are highly motivated to create the best experience for new and potential team members.
  11. Involved in all aspects of human resources, you are eager to learn and develop both in the field and in the industry.
  12. Ability to work at the brewery (Bracebridge) 2 days per week, the remaining hours can be completed from a home office.
