The Redwood assists women and children to live and thrive free from abuse, homelessness, and poverty. Core services include a 35-bed emergency shelter, 24/7 access to counsellors through text, live chat and telephone crisis lines, employment initiatives to help survivors become economically self-sufficient, and anti-violence intervention and prevention counselling that Redwood caseworkers bring directly to survivors living in neighbourhoods all over the GTA.

Job Summary
The Communications and Admin Specialist will work under the direct supervision of the Senior Director, Fundraising and Communications and in collaboration with the Communications and Advocacy Coordinator, and the Manager, Fund Development and Systems. The role will include working on communications and advocacy initiatives, as well as supporting fundraising and volunteer program initiatives, as needed. In addition, this role will involve providing the Fundraising, Communications and Volunteer program with coverage of essential services when staff members are on vacation or leave and will provide some administrative support to the Senior Director, Fundraising and Communications and Executive Director when needed.
Duties and Responsibilities
Support for Communications and Advocacy Initiatives
- Collaborate with the Communications and Advocacy Coordinator to create and update The Redwood’s social media calendar via Hootsuite.
- Collaborate with the Communications Team to create social media posts, stories, and reels to promote the services of The Redwood’s Emergency Shelter, Hub-on-Wheels, Women in Trades and Technology (WITT), iDetermine.ca, and other programs and projects.
- Collaborate with the Communications Team to create social media posts, stories, and reels to observe, celebrate, and promote positions on issues that we wish to advocate to the community, acknowledge and thank community partners and donors, and recruit staff and volunteers.
- Review social media channels for direct messages and comments including on Facebook, Instagram, LinkedIn, and X.
- Work with the Communications Team to create digital and print ‘thank you’ cards and videos for The Redwood’s funders and donors.
- Work with the Communications Team to create a content calendar for the website, monitoring to ensure content is kept up to date.
- Monitor The Redwood’s website and iDetermine.ca website to ensure they remain operational. Report on problems as they are identified, such as broken links.
- Monitor and respond to messages sent to The Redwood’s general email boxes.
- Work with the Communications Team to keep The Redwood’s email marketing database (Constant Contact) updated.
- Work with the Communications Team to create and maintain The Redwood’s photo, story and speakers’ library, including participant consents (DropBox).
- Scan archival photos and documents and upload them to DropBox.
Support for Fundraising and Volunteer Programs
- Accept delivery of in-kind donations at the shelter.
- Work with staff to maintain organized donation rooms.
- Pick up and deliver mail to the post office several times a week using TTC. (Presto card provided for this use.)
- Assist in keeping The Redwood’s online Safe Haven Store up to date.
- Prepare welcome packages for new donors.
- Provide logistical/physical support, including set up and clean up, at The Redwood functions including staff meetings and observations/celebrations, donor events and volunteer events.
- Participate in the execution of internal and external events, including taking photographs and creating social media posts (Toronto Pride, International Women’s Day March, WITT Graduation, etc.).
- Assist with updating the fundraising database Raiser’s Edge.
Admin Support
- Assist the team, including the Executive Director, with general administration support including drafting correspondence, filing, scanning, running errands, setting up meetings and video calls, taking notes at meetings.
- Prepare the team’s training summary for the Quarterly Executive Director Report.
- Provide coverage for essential services during Fundraising, Communication and Volunteer staff sick days, vacations, and other leaves.
General
- Adhere to all policies, procedures, guidelines, routines, and requirements of The Redwood.
- Abide by The Redwood’s Code of Conduct/HR Policies.
- Punctually attend meetings and supervision. Fully participates in team discussions, information sharing and ideas.
- Contribute to the building of a cohesive and motivated team that works in an environment that is flexible, adaptable, and open to continuous learning, unlearning and change.
- Able and willing to work from a feminist and trauma-informed approach.
- Understanding of Violence Against Women / Gender-Based Violence.
- Able and willing to promote harm reduction practices and anti-oppression framework.
- Maintain confidentiality of all The Redwood clients and organizational information.
- Demonstrate excellent judgement and an ability to work independently.
- May be assigned other responsibilities, within reason, as determined by the manager.
Working Conditions
- Work in a shared office environment, using a computer up to 8 hours a day.
- Some local travel within the community using TTC.
- Schedule includes regular evening hours, and occasional weekends.
Reports to: Senior Director, Fundraising and Communications
Start Date: As soon as possible
Schedule: Monday – Thursday (12pm – 8pm), Friday (9am to 5pm)
Compensation and Benefits: $60,000.00 CAD

Qualifications
- Post-secondary education in communications, public relations, marketing, or a related field.
- Experience or willingness to learn about providing support to the anti-gender-based violence movement.
- Strong communications skills; writing, speaking, editorial, proofreading and layout/design.
- Strong computer literacy including the use of Microsoft Office products.
- Experience using Hootsuite, DropBox, Canva, Constant Contact, WordPress, Elementor, Adobe Creative Suite, and CapCut is an asset.
- Experience working with social media platforms.
- Ability to handle multiple and competing priorities effectively efficiently.
- A clear Vulnerable Sector Screening (VSS) – criminal background check.
- Fully vaccinated against COVID-19 and able to provide proof, or proof of medical exemption.
