Job Description

  • Maintain the computerized systems for the KLH Housing Corp. in relation to leasing, rent geared to income calculation and household composition

  • Maintain the manual filing system for KLH Housing residents
  • Annual and interim eligibility reviews of KLH Housing clients in relation to income, assets and family composition in accordance with the Housing Services Act
  • Prepare and issue review packages, opportunity and appeal correspondence and rent change information
  • Perform calculation of rent geared to income payable in accordance with the regulations of the Housing Services Act.
  • Process vacancy information including computerized systems and file requirements, offer and show units and process all requirements of the move in including computerized input, income and household review, mandatory tenant insurance, lease preparation, parking assignments, etc for the Program Supervisor’s lease interview
  • Process necessary notification of vacancy forms and correspondence to other staff, departments, landlords and agencies as required in accordance with KLH Housing Corp. procedures
  • Assist the Program Supervisor by preparing Landlord Tenant Board forms
  • Compose letters and correspondence for signatures and prepares reports as required; proof reads for accuracy, grammatical errors and completeness
  • Complete statistical reports as required for various boards and agencies
  • Responsible for customer service in regards to eligibility reviews, calculation of rent and move out/move in processes
  • Annual eligibility reviews for Housing Allowance clients
  • Review, intake and processing of applications from clients regarding the Housing Allowance Program in the absence of the General Clerk
  • Review, intake and processing of applications from clients requiring Social Housing in the absence of the General Clerk in order to adhere to Housing Services Act notification timelines
  • Serve as a member of the Appeal Committee for the Social Housing portfolio
  • Administrative assistance to the Program Supervisor
  • Regular travel to various work locations is required to fulfill the job duties of the position
  • Perform other related duties as assigned

Skills and Education Required

  • Secondary School Diploma with additional education in Office/Business Administration or a related field
  • Minimum 3 years of related progressive experience, preferably in a municipal environment
  • Experience in an office environment related to Social Housing
  • Ability to perform Rent Geared to Income calculations in accordance with Social Housing guidelines
  • Working knowledge of the City of Kawartha Lakes Purchasing Policy and Records Management
  • Knowledge of the Residential Tenancies Act, Housing Services Act, and all other related Ontario regulations
  • Working knowledge of accounting procedures
  • Demonstrated problem solving skills with the ability to professionally and respectfully manage stressful and antagonistic situations
  • Demonstrated professional and ethical responsibility to protect privacy, use confidential information appropriately, treat sensitive situations with appropriate degree of tact and discretion
  • Demonstrated customer-service and interpersonal skills at a level to develop and to maintain cooperative/collaborative working relationships both within and outside the organization
  • Excellent time-management skills with the ability to prioritize workload and meet deadlines, and the ability to deal with multiple demands
  • Excellent written communication skills with attention to detail and accuracy
  • Excellent organizational and administrative skills with the ability to work independently and in a team environment
  • Ability to demonstrate initiative consistently with commitment to quality improvement, sharing process improvement initiatives with management
  • Demonstrated ability to understand and abide by municipal policies and procedures
  • Must be able to satisfy provincial security protocols.
  • Demonstrated proficiency in Microsoft Office, the internet, and any other related software
  • Upon a conditional offer of employment, an acceptable Criminal Record Check will be required
