Job description

The Langley Arts Council is a charitable arts organization committed to fostering creativity, accessibility, and community engagement through innovative and inclusive programming. From performances and exhibitions to community classes, workshops, and festivals, we bring people together through the transformative power of the arts.

Position: Temporary Event Coordinator

We are seeking an enthusiastic and detail-oriented Event Coordinator to join our team on a temporary basis to cover a maternity leave. The contract position is ideal for someone who thrives in a dynamic, creative environment and is passionate about delivering engaging arts and culture events. The candidate must be able to commit to part-time hours, working Tuesdays, Fridays, and Saturdays, with some schedule flexibility that can be negotiated.

Responsibilities:
  1. Report to the Executive Director and Office Manager for daily duties.
  2. Liaise with artists, vendors, partners, volunteers, and venue staff to ensure smooth logistics.
  3. Manage event timelines, budgets, and administrative requirements.
  4. Coordinate event permits, insurance, and health/safety needs.
  5. Supervise event setup, on-site staff/volunteers, and event takedown.
  6. Develop and distribute marketing materials to maximize attendance and community engagement.
  7. Coordinate volunteers, including assessment, recruitment, and placement.
  8. Identify and follow up with potential sponsors and partners; actively seek funding opportunities.
  9. Prepare post-event evaluations and reports.
  10. Attend and oversee community events on behalf of the Langley Arts Council.
