About the role:

This is a temporary Adminstrative assitance position in Customer Service.

What you’ll do:

  • Process Regular card orders for existing locations.
  • Manage Smart Card inbox.
  • Distribute card requests with Admin Team.
  • Assign finished card orders to Accounting team for invoicing.
  • Once invoices are received, register proper information, program the cards per location and prepare the shipping packages.
  • Process Rollout / Upgrades card orders
  • Prepare the packages accordingly to the request.
  • Coordinate with Sales Support team the card orders.
  • Include all materials.
  • Communicate with Sales Rep and Service Managers when packages are sent: to customers or via Pouch to the branches.
  • Review refund requests in E-ledger, pull information and check for mistakes.
  • Program the cards accordingly and record the refund number.
  • Create reports and refund lists.
  • Print letters and create mail merge with the refund list.
  • Prepare envelopes with letters and card refunds and take to mailroom for delivery.
  • Based on Debit/Credit Spreadsheet, update Smart laundry with the new codes created.
  • Review any missing information for existing locations.
  • Update GP for instructions and site codes in Special Instructions.
  • House cards and codes: review Superintendent’ card list, print orders, send for invoicing (inventory purposes), and then ship. Also, review Superintendent’ codes list, create codes and send to the email provided on the list.
  • Monthly Reports: Create monthly reports for Preloaded Cards, Refunds cards and Monthly card count.
  • Dispensers: Coordinate with Part Departments when cards for dispensers are needed. Print request and archive.

What we are looking for:

  • • High school diploma or general education degree (GED)
  • 1-2 years of customer service experience
  • Ability to work in a fast-paced and team-oriented environment
  • Must be able to work independently with limited supervision
  • Must have strong verbal and written communication skills
  • Proficient in MS Office (Outlook, Word and Excel)
  • Experience with call center phone systems and reporting is a plus
