About Balto Capital
Balto Capital is a fast-growing private lending firm with an entrepreneurial spirit. As a startup experiencing rapid expansion, we need a detail-oriented and proactive Bookkeeper & Office Administrator to take ownership of our day-to-day financial recordkeeping while supporting smooth office operations. This is an in-office position—our team collaborates best face-to-face.
Responsibilities
Bookkeeping & Accounting (Primary Focus)
- Manage day-to-day bookkeeping, including accounts payable, accounts receivable, and bank reconciliations
- Record and process invoices, expense reports, and vendor / contractor payments
- Maintain accurate and up-to-date records in accounting software (Yardi or similar)
- Support month-end and year-end closing activities
- Understand and discuss basic financial statements and reports with management for review
- Assist with cash flow tracking and expense management
- Ensure compliance with internal financial controls and procedures
Office Administration (Supporting Role)
- Oversee daily office operations in a fast-paced, high-growth environment
- Coordinate schedules, meetings, and travel arrangements for executives
- Handle calls, emails, and correspondence with professionalism and efficiency
- Maintain organized filing systems (digital and physical) for operational and legal documents
- Order and track office supplies, coordinate with vendors, and manage office upkeep
- Support onboarding and internal process documentation as the company scales
Qualifications & Skills
- Proven experience in bookkeeping and office administration (ideally in financial services, lending, or real estate)
- Solid understanding of accounting principles and bookkeeping practices
- Proficiency with MS Office Suite (especially Excel) and accounting software
- Exceptional organizational skills with strong attention to detail
- Ability to adapt quickly to changing priorities and thrive in a startup environment
- Strong written and verbal communication skills
- Discretion in handling confidential financial and business information
- Must be available to work in-office daily
Education & Experience
- High school diploma required; post-secondary education in accounting, finance, or business administration is an asset
- Minimum 2 years of experience in bookkeeping or accounting support, with exposure to office administration
