Weir Marine Engineering is currently looking for a Technical & Administrative Assistant for the naval Combat and Control Systems (CCS) section. This permanent position based in Dartmouth (NS) consists of providing technical and administrative support to the section and particularly to the Canadian Surface Combatant (CSC) project support team.

Support to technical personnel and leaders, maintaining various tracking spreadsheets for project activities; Proofreading, formatting and processing of technical deliverables; Assisting with the drafting of standard operating procedures and process mapping; Attend technical or administrative meetings to produce records of discussion, identifying and tracking progress of action items. Possibly assist leaders with project management activities such as monitoring, progress report and changes.
Coordinate hiring interviews and on‑boarding requirements with local authorities, report progress to leaders; Maintain organization charts and track staff training activities.
Assist the Security Officer for personnel clearance process, access to controlled goods, and visit clearance requests to external facilities; Assist with provision of building pass and network access.
Coordinate travel process including generating cost estimates, review and process travel requests, track approval process, make travel arrangements and review expense claims.

Mandatory: obtention a Government of Canada security clearance, which requires Canadian citizenship and continuous residence in Canada over the last 10 years as a minimum.
Mandatory: Vocational high school or college level diploma with specialization in either Administrative Assistant or Office Administration, combined with 3+ year’s related experience.
Mandatory: Ability to effectively communicate formally via email and telecommunications (phone and video conferencing) with client and team, proficient in technical writing and with office computer tools.
Desirable: Experience working in the defense industry and with security protocols is a desired asset.
Desirable: Ability to manage technical library and generate technical documents is a desired asset.
