As the leading distributor of electronic vaporizers and award-winning vaping products in Canada, we've made significant progress since our founding in 2013. However, we have much more to accomplish for our customers, and we're looking for a culturally aligned ( Mandarin Speaking ) Global Logistics Specialist to join our dynamic team located in Markham.

Position Summary

We are seeking a highly organized, detail-oriented Team Operations Coordinator to join our Product Development team. This role plays a vital function in supporting product launches by managing documentation, coordinating across departments, and ensuring accurate data flow between internal teams and external partners. The ideal candidate thrives in a fast-paced, cross-functional environment, brings a proactive, process-driven mindset, and is willing to assist with general administrative and operational needs to keep the team running smoothly.

Key Responsibilities

Product Documentation & Coordination

  • Collect and cross-check product specification documents from China-based team, ensuring alignment with manufacturer instructions.
  • Confirm and document master carton dimensions and weight, coordinate with Warehouse and Supply Chain, and communicate updates to manufacturers.
  • Request, track, and archive product costs and final confirmations.
  • Maintain Product Information Sheets and ensure updated versions are systematically saved.
  • Complete New Product Creation Sheets for each new SKU to enable PO issuance, entering and verifying key data.

Testing & Quality Coordination

  • Assist in documenting internal testing requests (TRFs), track their status, coordinate with QA, and archive results.

Database & Tracking Support

  • Maintain Excel-based trackers covering pricing, launch timelines, flavour assortment, and project status.
  • Conduct weekly research on competitor launches and summarize insights.

General Team & Admin Support

  • Support project tracking by maintaining development logs and milestone trackers.
  • Standardize document templates and file-naming conventions.
  • Prepare briefing docs or materials for internal reviews and cross-functional meetings.
  • Assist with sample preparation, internal coordination, flight bookings, meeting room prep, and other ad hoc tasks.
  • Take meeting notes, capture action items, and circulate summaries.
  • Participate in process improvement initiatives to enhance workflow efficiency.
  • Other tasks and duties as assigned by manager.

Qualifications

  • 1–3 years experience in coordination, operations, or supply chain support roles (product development or manufacturing a plus).
  • Strong organizational and administrative skills with exceptional attention to detail.
  • Ability to manage multiple product timelines simultaneously and proactively follow up.
  • Proficient in Excel, Word, and cloud file systems (OneDrive, SharePoint).
  • Clear, concise communicator able to work with cross-functional and international teams.
  • Fluent in both English and Mandarin (spoken & written) to communicate with overseas teams and suppliers.
  • Available for occasional early morning or evening meetings with China partners.
