Job description

We are seeking a passionate and knowledgeable Talent Operations Specialist to join our Talent Operations Team in our Vaughan Ontario office.

As a Talent Operations Specialist, you will play a key role in enhancing our talent acquisition and management processes across North America. This role supports a variety of talent-related projects, operational functions, and strategic initiatives, with a focus on recruitment operations and Workday Recruitment module management.

You will partner closely with the Talent Operations Manager, supporting day-to-day operations and high-impact projects that contribute to building and refining GFL’s talent strategy.

Key Responsibilities:

Talent Operations & Systems Support

  • Help the team manage Workday Recruitment and ATS tasks, providing support with updates and raising issues as needed.
  • Support system troubleshooting, testing, documentation, and improvements.
  • Maintain internal resources, templates, SOPs, and vendor relationships.
  • Manage shared mailboxes and assist recruiters with Workday inquiries.
  • Manage internal user accounts in collaboration with external vendors.
  • Ensure all new hires are promptly added to the relevant distribution lists.
  • Set up media monitoring tools (e.g., Google Alerts) to keep recruitment teams informed on relevant updates and mentions
  • Assist with processing invoices, following up with Accounts Payable, and supporting yearly audit processes to ensure accuracy and timely payments.

Data & Reporting

  • Support job requisition audits in Workday by reviewing postings for completeness and accuracy.
  • Conduct market research to support data-driven decisions.

Talent Attraction & Employer Branding

  • Own the administration and optimization of talent attraction tools such as Indeed and LinkedIn, including license management, usage reporting, access support, and job postings on social media platforms.
  • Coordinate recruitment events, swag orders, and promotional materials.

Projects & Process Improvements

  • Contribute to recruitment process improvements and scalable programs.
  • Support change management, communications, and operational initiatives.
  • Identify efficiencies to enhance the experience for candidates and recruiters.

Key Requirements:

  • 2–3+ years in recruitment operations or talent coordination; experience building/refining TA practices is preferred.
  • Background in Talent Acquisition and/or relevant education (HR, Business Admin).
  • Experience with Workday or similar ATS/HRIS systems.
  • Strong understanding of recruitment lifecycles and best practices for optimization.
  • Excellent communication, organization, and problem-solving skills.
  • Proficient in Microsoft Teams, Word, Excel, PowerPoint, and Outlook.
  • High emotional intelligence, collaborative mindset, and adaptability.
  • Strong moral and ethical judgment, with respect for privacy and confidentiality.
  • Strategic thinker with the ability to present findings and insights to leadership.
  • Willingness and ability to travel across Canada and the U.S.
  • Comfortable with a hybrid role requiring four days per week in-office at our Vaughan head office.
