Brief Overview Of The Job

Reporting to Human Resources Manager, the Talent Acquisition Coordinator is responsible for helping deliver on the recruiting strategy throughout the TWN organization. The Talent Acquisition Coordinator plays a critical role in ensuring we are hiring the most qualified candidates by developing job advertisements, posting roles, short-listing candidates, coordinating the interviews, and helping the Human Resources Generalist and Tsleil-Waututh Nation (TWN) Management with the selection administration for a smooth and seamless process. This will be achieved through supporting the development of recruiting plans, employing sourcing strategies and resources as well as developing new, creative recruiting ideas.

Key Responsibilities

The Talent Acquisition Coordinator position is responsible for the followingkey functions.

Job Advertisement/Postings

  • Works closely and collaboratively with Human Resources Generalist and TWN management to promote work opportunities to qualified candidates by helping to create/update job descriptions and job postings.
  • Helps Human Resources Generalist and TWN management to identify the appropriate channels to post new job opportunities, i.e.) websites, schools, associations, etc.
  • Develops sound knowledge of the TWN Strategy, Employee Handbook, and other operational guideline documents to best inform potential candidates.
  • Assists with the development of hiring tools including culturally appropriate recruitment and marketing materials.
  • Prepares tools for social and professional networking sites to identify and source candidates.
  • Prepares pre-screening tools to help shortlist candidates applying to the role.
  • Shortlists candidates applying for each position, to be able to present the best candidates for each role.
  • Manages the applicant tracking system, ensuring that all candidate information is updated accurately and promptly
  • Communicates with managers regularly to establish rapport and present shortlisted candidates.
  • Support employer branding initiatives, assist in recruitment marketing, and help coordinate career fairs and job events.

Interview & Selection

  • Provides guidance to TWN management on interview and selection process of candidates, both internal/external.
  • Coordinates all interviews (in-person/virtual) including identifying the right internal resources (Human Resources Generalist, TWN management and others) are available and setting up bookings for boardroom or zoom/teams meetings invites. This would include for 1 st and 2 nd interviews where applicable.
  • Prepares hiring packages for Human Resources Generalist and TWN management and any others that will participate in the interview process including: candidate resumes, interview questions, and other pertinent information for interview process.
  • Collects all required Background Check Authorization Forms, to conduct reference and background checks on applicants.
  • Extends employment offers to successful applicants via verbal offer and follow-up authorized paperwork from HR Administrative Assistant.
  • Notifies Human Resources Generalist, TWN management, and HR Administrative Assistant on all offer acceptances to prepare for their arrival.
  • Provides selected candidates with details for next steps on scheduled orientation.
  • Contacts applicants to inform them of the status of their employment possibilities, consideration, and selection.

Administration

  • Develops, evaluates, and continuously improves recruitment practices and services.
  • Helps to create tools for managers and employees on policies and procedures.
  • Engages and builds relationships with educational institutions, include Indigenous student services to attract students to TWN’s opportunities.
  • Attends internal TWN leadership meetings, as requested.
  • Maintains an inventory of qualified external applicants for future consideration if not selected.
  • maintains a talent pool of Tsleil-Waututh Nation members to align with and support the implementation of the TWN talent strategic goals .
  • Maintains regular contact with possible future candidates for key positions.
  • Sends all rejection letters to unsuccessful candidates, in writing via email.
  • Schedulse and conducts exit interviews for departing employees, ensuring they are held in a timely and confidential manner.
  • Collaborates with HR and management to ensure that feedback from exit interviews is addressed and used to inform future talent management strategies.
  • Coordinates employee engagement events, including farewells, retirement celebrations, recognition activities, and team-building events, to foster a positive work environment and strengthen employee morale and connection.
  • Other duties as assigned/required.

Required

EDUCATION/EXPERIENCE REQUIRED

  • Diploma/or Bachelor in human resources administration, or an equivalent combination of education, training, and experience.
  • 2-3 years recent experience in providing a full range of HR and/or recruitment support to a team.
  • A minimum of 1-2 years’ experience in using recruitment selection tools and resources.
  • Excellent written and verbal skills and comprehension.
  • Have a working knowledge of employment legislation including: Canada Labour Code, Employment Standards Act, Privacy Legislation, Occupational Health and Safety Legislation, and knowledge of Employment Law practices.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Proficiency in using HRIS platforms, such as ADP, and the ability to maintain ATS tools effectively
  • Must have valid driver license (BC Class 5) and proof of satisfactory driving record.
  • Criminal records check (vulnerable sector).
  • Familiarity with remote recruitment tools and platforms (e.g., Zoom, Microsoft Teams)

Preferred/Asset

  • Working towards the CPHR Designation
  • Previous experience working in a First Nations community and/or organization.

Physical Demands

  • Significant desk work with long periods of sitting and manual dexterity activities (keyboard operations).
  • May have to do some light lifting of supplies and materials from time to time, up to 20 lbs.

Mental Focus

  • Required to handle a number of requests and situations at one time. The office may be noisy and busy making it difficult to concentrate.
  • Stress may be caused by distressed visitors, tight deadlines, quick problem solving, and the variety of tasks and the volume of the workload at any given time.

Environmental Conditions

  • The administration office is a busy facility. May have to manage a number of tasks at one time and may be interrupted frequently to meet the needs and requests of community members, guests, visitors and staff.
  • Handle highly sensitive and confidential information.
  • Engagement with membership, staff, management and external contacts.
  • Occasional evening and weekend hours, and occasional travel as needed
