System of Care, Administrative Services Officer

Job Reports to : System of Care, Operations Manager

Salary : $25.97 – $30.81

SUMMARY

Under the general direction of the System of Care Operations Manager this position is responsible for providing day to day administrative support for the Cochrane District System of Care.

KEY RESPONSIBILITIES OF POSITION

  • Plans, organizes, and executes meetings, conferences, training, and events, including attendance tracking, material preparation and other logistics.
  • Organize training sessions : meeting invites, refreshments, training materials, attendance tracking.
  • Organizing onboarding of partner agencies.
  • Prepare agendas and minutes / notes which are confidential in nature.
  • Prepares spreadsheets, presentations, and reports as required.
  • Creates and distributes meeting minutes, notes, and materials, following up on timelines, reports and actionable items.
  • Maintaining work plan, document tracker, client relations data for System of Care and related working groups.
  • Create, format and maintain fillable pdf forms.
  • Update / maintain System of Care SharePoint page and Dropbox for related working groups.
  • Assist with research related to mapping of system strategies, locations for unsheltered homelessness and outreach coordination.
  • Track and maintain relevant statistical information, local vacancy and landlord engagement information.
  • Acquire quotes and assist with organizing purchases and distribution.
  • Maintain, update and distribute System of Care policies as required.
  • Assist with the creation and distribution of communications and promotional materials.
  • Monitor local news and social media platform for items of interest.
  • Collaborates with various departments within the organization and external partner agencies.

  • Professional demeanour with well-developed written and oral communication skills

  • Proficient computer literacy using the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Professional as well as various media channels.
  • Experience in desktop publishing and design for both print and digital media
  • Ability to exercise discretion and good judgment when handling sensitive information.
  • Excellent customer service skills are required to respond to phone, email, and in-person inquiries.
  • Ability to maintain confidentiality and use tact / diplomacy effectively.
  • Good organizational skills.
  • EDUCATION & EXPERIENCE

  • Post-secondary diploma in business administration or office administration.
  • An equivalent combination of post-secondary education and experience will be considered.
  • CONDITIONS OF EMPLOYMENT
