Job Description
Reporting to the Supervisor of Court Support, the Support Assistant C will provide administrative support to the Judiciary in court during proceedings. This includes preparing court dockets and documents, escorting the Justice into the courtroom, calling court to order, arraigning defendants, recording pleas, swearing in various stakeholders, and receiving, recording, and maintaining exhibits tendered as evidence. They will also maintain records and files and support various other administrative tasks outside of the courtroom setting.
Major Responsibilities:
- Provide bilingual (English and French) administrative and clerical services.
- Prepare, research, maintain and process documents (e.g. enforcement of defaulted fines, license suspensions, warrants, and probation orders, other court orders, interpreter requests, dockets, case dispositions, MTO requests, photocopy requests, trial requests, motion applications, extension applications, re-openings, walk-in guilty pleas, and filings of certificates and information).
- Select and present data; determine and correct errors.
- Draft correspondence related to legislative authorities and court/tribunal processes.
- Input, update and maintain data (e.g. processing certificates of offence and Information filed with court, prepping court dockets, updating dispositions including FTR, scheduling trials).
- Operate office equipment and computers utilizing a variety of software packages.
- Maintain filing and retrieval systems for records/documents.
- Receive documents/applications, invoices/monies from the public or other levels of government and ensure accuracy and completeness.
- Issue/complete receipts/documentation.
- Respond to inquiries requiring broad knowledge of the operational area/function.
- Coordinate meeting rooms, bookings and special requirements for meetings.
- Attend meetings, take and transcribe minutes.
- Monitor, order, and maintain supplies/resource materials for the unit or other locations.
Key Qualifications:
Your application must describe your qualifications as they relate to:
- Experience providing bilingual (English and French) front line services in a customer service environment.
- Considerable experience performing various clerical duties, including receiving payments, typing correspondence, and processing applications.
- Experience with MS Office (i.e. Word, Excel, Access, Outlook, and PowerPoint), data entry, and formatting procedures.
- Considerable experience working with various filing systems and managing large volumes of information.
You must also have:
- Ability to utilize layout of formatting procedures for text, charts, graphs, and statistical data.
- Mathematical ability to compile statistical summaries and balance accounting documents.
- Excellent organizational skills with the ability to multitask in a high-pressure environment.
- Ability to operate audio/visual systems and perform minor maintenance and repairs.
- Knowledge of legal and technical terms and court procedures.
- Ability to type/keyboard at a fair rate of speed and accuracy.
- Excellent interpersonal and communication skills.
- Ability to lift boxes up to 20 kg.
- Ability to work flexible and varied hours on a rotational basis.
- Ability to work in a primarily digital environment.
