Rainy River Mine

Located in northwestern Ontario, 65 km northwest of Fort Frances, the Rainy River Mine is an open-pit gold and silver operation.

The mine is near the Ontario/Minnesota border, halfway between Winnipeg and Thunder Bay. The area hosts over 130 bird species and large populations of moose, bears, and deer. Outdoor enthusiasts will enjoy hunting, fishing, winter sports, and lake activities.

About The Role

Schedule: 5/2 4/3 – 9-hour days

Reports To: Supply Chain Superintendent

Position Overview

Reporting to the Supply Chain Superintendent, the Supply Chain Administrative Assistant provides vital administrative and logistical support. Responsibilities include coordinating activities, maintaining records, facilitating communication, supporting procurement, inventory management, and distribution. The role involves document control, scheduling, and compliance tracking, ensuring smooth supply chain processes.

This full-time position is based at the Rainy River Mine Site, working 5 days on, 2 days off, followed by 4 days on, 3 days off.

Key Responsibilities

  • Create and update departmental reports; assist with performance metrics, inventory, and training reports
  • Provide general administrative support
  • Control and review SOPs, policies, and controlled documents
  • Create tickets for repairs and follow up
  • Maintain departmental filing system
  • Manage training files
  • Track Transportation of Dangerous Goods compliance
  • Investigate invoice discrepancies with Accounts Payable, Warehouse, and Procurement
  • Prepare site-wide bulletins and departmental communications
  • Create purchase requisitions and follow up on deliveries
  • Process invoices, validate charges, and resolve discrepancies
  • Track team absences and manage the roster
  • Support team events and facilitate their success
  • Schedule meetings, prepare agendas, and record minutes
  • Identify inefficiencies and suggest improvements
  • Provide other administrative support as needed

Qualifications

  • High school diploma required; post-secondary education or experience in supply chain, logistics, or mining environment preferred
  • Administrative experience in supply chain or logistics
  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Works well under pressure and meets deadlines
  • Analytical thinking skills
  • Verbal and written communication skills
  • Team-oriented and proactive
  • Discretion and confidentiality in handling sensitive information
