Job summary

Macaulay Centres for Children seeks a Central Administration Supervisor to lead the central administration team at its Head Office in Toronto. You will oversee service delivery, compliance documentation, reporting and procedures while supporting managers and internal teams through coordinated administrative services and special projects.

Qualifications

  • University degree, college diploma/certificate, or an equivalent combination of education and experience in business or office administration.
  • Minimum three (3) years of progressive administrative experience.
  • Experience managing/supervising a staff team.
  • Excellent interpersonal, written and verbal communication and listening skills.
  • Proficiency with Microsoft 365, Foxit Phantom, Canva and email systems.
  • Ability to adapt to multiple priorities and deadlines.

Responsibilities

  • Lead and supervise the central administrative team to meet annual goals aligned with the agency’s mission and service standards.
  • Oversee central administration operations and standardize practices for consistent service delivery.
  • Manage procurement of stationery, business cards, and office supplies.
  • Train staff on procedures and workflows and provide guidance on office processes.
  • Maintain compliant records and manage governance, licensing, and reporting documentation.
  • Coordinate administrative components of agency projects, proposals, grants, and reporting.
  • Support stakeholder communications, mailings and centralized record tracking.
  • Liaise with the building manager on facilities matters and maintenance scheduling.

Salary Range: $70,185.00 To $80,211.00 Annually

REPORTS TO: Director, Finance and Administration

POSITION SUMMARY

The Central Administration Supervisor supervises the central administration team and leads centralized administrative operations and coordination across the organization. The role oversees service delivery, compliance documentation, reporting, and administrative procedures; supports managers and internal teams through coordinated administrative services and special projects; and helps ensure consistent, high-quality service to both internal stakeholders and Macaulay clients.

This position is based at Macaulay Centres for Children Head Office (2010 Eglinton Ave W., Toronto, ON M6E 2K3).

RESPONSIBILITIES
Supervision and Leadership
  • Lead and supervise the central administrative team in achieving annual goals aligned with the agency’s philosophy, mission, values, and service standards.
  • Promote a collaborative, accountable team environment that supports quality customer service and effective administrative operations.
  • Liaise with Program management regarding distribution and prioritization of work.
Administrative Operations & Team Coordination
  • Oversee central administration operations, standardize administrative practices and promote consistent service delivery across the organization.
  • Manage central procurement activities this includes stationery, business cards, and office supplies.
  • Train and support administration staff on standardized procedures and workflows.
  • Provide guidance on office procedures, forms, equipment use, and administrative timelines.
Compliance & Documentation
  • Maintain complete, organized, and compliant records in accordance with established retention requirements.
  • Upload and maintain governance, licensing, regulatory, and compliance documentation in required reporting portals, this includes insurance renewals, insurance claims records, property leases, and property tax rebate materials
  • Lead the annual insurance renewal for the Agency.
Special Projects & Central Coordination
  • Support and implement administrative projects and team initiatives that advance operational goals.
  • Coordinate administrative components of agency-wide projects, proposals, grants, and reporting requirements
  • Prepare and finalize materials for committees, leadership, and governance bodies.
  • Support stakeholder communications, mailings, and centralized record tracking.
Facilities Management
  • Liaise with the building manager regarding routine building and maintenance matters.
  • Coordinate and track preventive maintenance schedules for building systems and equipment
General
  • Attend agency staff meetings and training, team meetings and special events.
  • Maintain optimal attendance at work.
  • Work evenings and weekends when required
  • Work in compliance with all applicable regulations and laws
  • Comply with all Macaulay policies, practices and quality standards.
  • Work to further Macaulay’s mission, vision, values, and strategic directions.
  • Perform other duties as assigned
QUALIFICATIONS
  • University degree, college diploma/certificate, or an equivalent combination of education and experience in business or office administration
  • Minimum three (3) years of progressive administrative experience
  • Experience managing/supervising a staff team
  • Excellent interpersonal, written and verbal communication and listening skills
  • Proven technical skills utilizing Microsoft 365 Suite of Applications (Teams, SharePoint, OneDrive, Excel, Word etc.), Foxit Phantom, Canva and e-mail
  • Ability to take direction with the ability/flexibility to adapt to multiple business requirements and changing priorities
  • Strong organizational capabilities and time management skills to manage multiple projects with the ability to multitask, prioritize effectively and meet deadlines
  • Demonstrates a high degree of initiative and problem solving with keen attention to details
  • Highly motivated to continually strive for excellent results including on-going improvements to work processes
  • Ability to apply sound judgment to a variety of situations demonstrating tact and diplomacy
  • Proven ability to organize, maintain, and monitor administrative records and data
  • Proven ability to build effective working relationships across teams
  • Ability to work independently and collaboratively in a team environment
  • Current standard first aid/ CPR-C certificate (if not, required to obtain certification within 60 days of hire)
SALARY:

Supervisor, Central Administration Salary Scale (starting at $38.56/hour ($70,185 - $80, 211 per annum) with Competitive Benefits Package (health & dental) and paid time off entitlements (starting at 20 vacation days & 5 float days)
