Job Summary:

The Super Site Administrator (SSA) provides IT/IS support to staff within their designated site/program and ensures adherence to VON policies and procedures. The SSA collaborates with site management and the IT/IS corporate services department to deliver necessary services to the staff within the program/site.

Key Responsibilities:

IT Support
  • Maintain inventory of on-site devices.
  • Perform setup, staff education, and troubleshooting for IT-approved devices and software.
  • Conduct regular maintenance on equipment.
  • Create and update staff directory with device information.
  • Follow standardized procedures for technical onboarding and offboarding of staff.
  • Assist in offboarding staff, ensuring access is terminated and devices are restored.
  • Perform basic site IT tasks under IT direction, such as power cycling network equipment.
Site/Program Support
  • Assist staff in creating IT tickets.
  • Report on data from software applications to improve site operations.
  • Develop and update training materials for local sites.
  • Maintain awareness of VON practices and policies related to software.
  • Set up, train, and support staff with new and existing software.
  • Assist users with password changes and access issues.
  • Maintain equipment lists and supply orders.
  • Code and approve telecom invoices.
  • Monitor e-learning portal and ensure course completion.
  • Act as site contact for IT tasks like internet services.
  • Ensure staff sign handheld device agreements.
  • Complete change forms for work phone numbers.
  • Troubleshoot general issues and submit service desk tickets.
Equipment/Devices
  • Reprogram desktop phones and enable ports.
  • Support repairs and escalate when necessary.
  • Maintain inventory database of active users and equipment.
  • Order accessories and supplies.
  • Assist with equipment management, including printer and phone installation and updates.
  • Troubleshoot equipment issues.

External and Internal Relationships
  • Interact with leadership, vendors, health authorities, and stakeholders.
  • Maintain relationships and documentation for funders and partners.
Education, Designations, and Experience
  • Post-secondary education in office administration, IT, or related experience.
  • Proficiency in Windows OS and MS Office.
  • Experience with scheduling software and Cognos is an asset.
  • First Aid or CPR certification is an asset.

  • Access to a personal vehicle, valid driver’s license, and insurance.

  • Willingness to travel to sites and meetings.
  • Use of PPE may be required.

Working Conditions and Physical Demands: This role involves detailed-oriented work in a dynamic environment, including lifting, carrying, bending, reaching, kneeling, walking, sitting, standing, and climbing stairs. Fine hand movements are also required.
