Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

Under the general direction of the Manager, Central Staffing office, in consultation with the Nursing Supervisor, is responsible for ensuring that adequate staffing levels are maintained for designated units in addition to providing efficient clerical support as assigned.

Duties include:

  • Maintaining staffing and payroll processes utilizing ESP.
  • Placing calls to staff as required to cover unmet baseline requirements, short-term absences and workload.
  • Placing calls to staff and offering additional shifts in accordance with applicable Collective Agreements.
  • Ensuring data integrity and accuracy in ESP and in all other aspects relating to staffing and alerts Manager of any discrepancies.
  • Following Contingency guidelines utilizing a manual staffing and payroll system, when required.
  • Generating reports and typing a variety of correspondence and policies and procedures using appropriate PC applications such as word processing, database and spreadsheets.
  • Entering data related to purchase salary (agency staff) invoices.
  • Acting as a receptionist for the area, taking and relaying messages, greeting and directing, staff, agency staff, visitors, etc.
Experience
  • Preference will be given to those candidates with previous staff scheduling experience.
Education (Degree/Diploma/Certificate)
  • Complete high school education, Manitoba standards, required.
  • Successful completion of a recognized secretarial training program or equivalent combination of education and experience as recognized by the Centre, required.
Qualifications and Skills
  • Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
  • Typing 45 wpm required.
  • Demonstrated proficiency in the use of Microsoft Office (Word and Excel) required.
  • Knowledge of Environment for Scheduling Personnel (ESP) or other service-based staff scheduling systems preferred.
  • Excellent interpersonal and communication skills required.
  • Must understand and communicate effectively in English, verbally and in writing.
Physical Requirements
  • Work under stressful conditions in a high volume, high traffic environment.

This term position may end earlier as outlined in your collective agreement.
