Job description

Overview

THIS IS A TEMPORARY, SUMMER ONLY POSITION.

The Staff Assistant I is responsible for providing excellent customer service and information to clients, visitors, volunteers, and the general public on the phone and in the office; acts as a liaison between clients and on-site staff; assists with general intake information; notifies on-site staff of visitors with scheduled appointments, as well as walk-in inquiries. Check in patrons electronically via our membership system (PM). Lead, execute, and foster a welcoming environment.

Responsibilities
  • Answers and follows through with phone calls.
  • Data entry of general intake information and assists with general office work as needed.
  • Prompt opening and closing of the reception area, including doors, phones, and computer system.
  • Maintains the reception lobby and other related public areas in a clean and orderly manner, including displays of brochures and pamphlets.
  • Complies with training and cross-training requirements.
  • Ability to identify potentially undesirable or harmful conditions developing and take action to defuse them.
  • Works in compliance with the center's confidentiality guidelines and procedures.
  • Employs a welcoming, respectful, and responsive manner at all times.
  • Performs related work as required.
Qualifications
  • Two (2) years of experience in administrative work required.
  • Appropriate education may be substituted for the required experience on a prorated basis.
  • Working knowledge of computers; Word, Excel.
  • Ability to type 30 wpm.
  • Good verbal and written skills preferred.
  • Ability to work effectively in a multi-cultural, multi-ethnic work environment.
  • Ability to exercise good judgment and focus on detail as required by the job.
  • Boston residency required.
