As a Specialty Leasing Coordinator at Yorkdale, you'll play a pivotal role in supporting the Senior Manager of Specialty Leasing to drive revenue and enhance the brand’s positioning. Your work will directly contribute to meeting the annual NOI targets and support key objectives such as prospecting, renewals, and managing our large-scale storage program. Additionally, you'll help elevate Yorkdale’s brand through meaningful partnerships and activations.

As a key member of our team, you'll be responsible for:

  • Revenue Generation & Prospecting: Support the Senior Manager in generating income opportunities through prospecting, new tenant acquisition, and ensuring successful activations.

  • Storage Program Ownership: Manage our significant storage program, including ensuring adherence to budget, overseeing renewals and expirations, conducting tenant tours, prospecting and monitoring program logistics.

  • Project & Logistics Management: Coordinate the logistics of specialty leasing activities such as brand activations, and pop-ups. Oversee tenant set-up to move-out and ensure smooth operations across these programs.

  • Internal Coordination & Communication: Act as the liaison between the Specialty Leasing department and other internal teams such as Legal, RDC, Marketing, and Operations. Ensure clear communication of updates, inquiries, and tenant details.

  • Documentation & Contract Management: Assist in coordinating new and existing agreements and necessary documentation. Work closely with the Retail Legal team to ensure compliance and accurate contract management.

  • Administrative Support: Provide comprehensive administrative support, including preparing specialty leasing transaction documents and ensuring all required agreements, payments, insurance, design plans and documentation are in order. Frequently update budgets, floorplans, trackers and pitch decks.

Key Responsibilities Include:

  • Prepare and manage agreement requests and renewals.

  • Maintain accurate inventory tracking and reporting for all Specialty Leasing categories and client files.

  • Ensure timely receipt of all required documentation (payments, insurance, marketing assets etc.) before lease start dates.

  • Coordinate the logistics of tenant activity – from site visits to agreements to move in/key handover to payment/insurance to move out.

  • Assist the Senior Manager with forecasting and the preparation of annual budgets for Specialty Leasing and Storage.

  • Coordinate with accounting to provide necessary backup and variance explanations for Specialty Leasing accounts/budgets.

To Succeed in This Role, You Have:

  • Education & Experience:

  • Post-Secondary Education in Business, Marketing, or Sales.

  • 3+ years in Shopping Centre Retail or 5+ years in related sales experience. Brand management or sponsorship development is a plus.

  • Retail Passion & Industry Knowledge:

  • Strong understanding of retail trends and brands.

  • Organizational & Anticipation Skills:

  • Excellent at managing multiple projects, budgeting, and working with agreements.

  • People & Communication Skills:

  • Strong relationship-building abilities, comfortable with tenant tours and client interactions.

  • Problem-Solving & Flexibility:

  • Skilled at anticipating needs, problem-solving and adapting to new challenges.

  • Technical Skills:

  • Proficient in MS Office products and general computer literacy.

  • Team Collaboration:

  • Effective communicator and a team player in a diverse environment.
