Job summary

McCarthy Tétrault is seeking a Specialist, Print and eResources to join our Toronto office. The role manages print and electronic resources, coordinates access, and supports users while improving workflows in a fast-paced, professional services environment.

The ideal candidate has at least three years of experience in legal or corporate libraries, a library technician diploma or equivalent, and strong knowledge of library management systems, metadata, licenses and vendor coordination.

Qualifications

  • Minimum of three years of experience in a legal, professional services, academic, corporate library or research environment.
  • Experience with electronic resources, cataloguing, metadata and subscription management.
  • Familiarity with library management software (EOS / SirsiDynix) and MS 365 platforms.
  • Strong communication and stakeholder management skills.
  • French language skills would be an asset.

Responsibilities

We are recruiting for a Specialist, Print and eResources to join our team in our Toronto office. The successful candidate must have a minimum of three (3) years of experience in a legal, professional services, academic, corporate library or research environment and will be responsible for managing print and electronic resources, coordinating resource access and vendor relationships, cataloguing and maintaining library records, supporting users, and improving resource-management processes and workflows. McCarthy Tétrault employees benefit from a hybrid work environment. This is a newly created position.

Salary Range: $76,000 - $86,000 annually

The offered salary may vary based on the candidate’s job‑specific knowledge, skills, and experience.

As a Specialist, Print and eResources, you will:

  • Maintains and improves the firm’s print and electronic resources across all offices, including standing orders and practice group resources, using the Library Management Software and related resource‑management tools. This includes maintaining catalogue records, system modules, data quality, reporting fields and user‑facing access points, in collaboration with internal stakeholders and vendors.
  • Coordinates electronic‑resource access, passwords, license information, permissions and troubleshooting to support reliable availability of key research products.
  • Liaises with publishers, aggregators and vendor representatives to support acquisitions, renewals, license coordination, order follow‑up, invoice resolution and resource‑related communications.
  • Maintains accurate resource, vendor, license, subscription, billing and usage information to support renewals, budget tracking, reporting and decision‑making.
  • Coordinates interlibrary loans, document delivery and resource‑access requests, maintaining accurate transaction records and supporting timely cost recovery or payment processing where applicable.
  • Manages serials and continuing resources, including maintaining records consistent with recognized library standards, monitoring subscription changes, producing reports and identifying opportunities to streamline or modernize related processes.
  • Catalogues English resources and selected French resources for the firm’s libraries, maintaining the integrity, consistency and usability of catalogue and metadata records.
  • Processes library materials, including labelling, repairs, inventory maintenance and related collection‑management activities, with a focus on practical and efficient workflows.
  • Provides user support, guidance and orientation on the catalogue, resource access, library tools and selected research‑resource workflows.
  • Prepares, maintains and updates SOPs and procedures to support service continuity, onboarding, knowledge transfer and consistent resource‑management practices.
  • Contributes to process improvement initiatives, including the review of recurring tasks, resource workflows, reporting practices and opportunities to make better use of existing tools, automation or AI‑enabled functionality.
  • Supports the responsible use of AI‑enabled and technology‑assisted research and resource tools by maintaining accurate resource data, documenting workflows, identifying practical use cases, and escalating quality, privacy, licensing or access issues as appropriate.
  • Works collaboratively with managers and members of the Research & Information team and other internal groups to ensure that resource‑related information, access and processes support the evolving needs of the firm.
  • Performs other duties and projects as assigned.

As our ideal candidate, you will distinguish yourself by the following profile:

  • Library technician diploma, library and information studies credential, or equivalent combination of education and relevant experience.
  • Minimum of three years of experience in a legal, professional services, academic, corporate library or research environment.
  • Experience working with electronic resources, library management systems, catalogue records, metadata, serials, acquisitions, resource access, invoices, contracts and vendor coordination.
  • Experience with library management software such as EOS / SirsiDynix or similar applications, as well as web‑based platforms, SharePoint, Microsoft 365 and related internal knowledge/resource portals.
  • Experience supporting subscription management, vendor communications, license coordination, invoice follow‑up, billing platforms and/or purchasing systems such as Coupa or similar tools.
  • Demonstrated knowledge of legal reference services and an understanding of legal research tools, legal information sources and client‑service expectations in a law firm or professional services environment.
  • Familiarity with AI‑enabled legal research, information‑management or productivity tools would be an asset, particularly in relation to responsible use, workflow support, data quality and resource access.
  • Strong oral and written communication skills. French language proficiency would be an asset.
  • Strong service orientation and ability to communicate clearly with key stakeholders to assess resource needs and build consensus on appropriate solutions.
  • Proven ability to share knowledge and practical guidance with colleagues and users in one‑on‑one or group settings.
  • Strong organizational, time‑management and project‑coordination skills, with the ability to manage multiple priorities and recurring deadlines.
  • Proficiency with integrated library management systems, electronic‑resource platforms, catalogue tools, spreadsheets, reporting tools and Microsoft 365 applications.
  • Comfort with technology and willingness to learn new tools, including AI‑enabled tools, automation features and evolving research/resource platforms.
  • Strong attention to detail, particularly in relation to catalogue records, license information, vendor data, billing details, access credentials and usage/resource reporting.
  • Sound judgment and discretion when handling internal information, vendor communications, license terms, access credentials and confidential or sensitive matters.
  • Ability to identify practical process improvements and contribute to more efficient, documented and sustainable workflows.
  • Ability to work both independently and collaboratively in a national, fast‑paced team environment.
  • Ability to support occasional collection‑related tasks, which may involve handling or organizing boxes of library materials.
