Job description

Title: Special Education Administrative Assistant – AGS

Start Date: July 2025

Term: Full Time

Accountable to: Listuguj Education Directorate

Summary of Function:

The Administrative Assistant will report to the Vice Principal of Special Education, working closely with the Methods and Resources department. The incumbent will be required to perform an array of administrative duties including secretarial duties. Additional responsibilities include taking minutes during meetings and scheduling appointments for the Methods and Resources department. The Administrative Assistant is also accountable for drafting, reviewing and editing time-sensitive correspondence sent by the management team. Other duties, relevant to the position, shall be assigned as required.

Job Duties:

  • Maintain a professional image and demeanor with all employees, management, executives and visitors at all times.
  • Strong organizational skills.
  • Perform basic record keeping functions.
  • Ability to multitask
  • Maintain employee records for all employees within Special Education and manage all Individualized Educational Plans (IEPs) for students within Special Education.
  • Review and prepare all documents, reports and other correspondence materials for the Methods and Resources team.
  • Courteously receive and screen all referrals, emails, and visitors.
  • Coordinate departmental office activities.
  • Take notes and meeting minutes.
  • Maintain a high level of confidentiality in all interactions.
  • Assist with report and presentation preparation.
  • Maintain a professional image and demeanor with all employees, management, executives and visitors at all times.
  • Maintain and monitor office supply inventory levels and place orders as required.
  • Prepare travel arrangements with keen attention to detail, where necessary.
  • Other duties, relevant to the position, shall be assigned as required.

Requirements:

  • High school diploma or equivalent required.
  • Business Administration degree or diploma and/or secretarial diploma is considered an asset.
  • 2 years’ experience as an Administrative Assistant, or relevant role, considered an asset.
  • Proficient use of various office-based software including Microsoft Office.
  • Must provide a Criminal Record and Vulnerable Sector Check.
