Role Title Legal Operations Coordinator
Career Opportunity Role Title Legal Operations Coordinator Purpose of role Reporting directly to the Team Lead, Legal Operations and Senior Corporate Paralegal, this role is primarily responsible for providing support to the General Counsel, Legal Services, and other Counsel. The Legal Operations Coordinator also delivers high quality, timely and accurate broad based administrative and project related support to members of the Legal, Compliance and Special Investigation Unit/Complaints (the “department”). The successful candidate will be instrumental in supporting the department’s organizational and operational efficiencies.
Key Responsibilities
- Provide calendar support to the General Counsel, adjusting priorities and rescheduling as necessary. Maintain an organized daily schedule and ensure efficient daily operations
- Provide high level legal administrative support and assist with project coordination for the AVP, Legal Operations and Assistant Corporate Secretary and other members of the Legal Team; including preparation of draft reports, materials, correspondence, memos, spreadsheets, PowerPoint presentations, coordinate meeting agendas as required
- Accurately forecast and manage annual regulatory filings and license renewals for Foresters and its subsidiaries, ensuring timely resolution of any deficiencies
- Identify, coordinate, and assist with implementation plans, applications and methods to support office initiatives and projects to improve office efficiency and productivity
- Assist with the development and/or support of programs that optimize sharing, collaboration and finding knowledge across the department
- Administer and maintain Foresters Legal Matter Management System and maintain well-organized, complete and accurate legal files
- Provide input and assist in developing and maintaining the Employee Portal relative to the legal department policies, procedures, functions and delivery of service, as well as contribute to the ongoing improvement and streamlining of department operations
- Maintain the Legal Team’s off-site database and assist with implementation of a new off-site tool
- Book travel arrangements, assist in management of department expenses and oversee invoice process including e-billing, and Legal Team’s accruals and financial year-ends
- Assist in developing and maintaining a system for effective onboarding of new department personnel
- Assist with developing and maintaining department policies, guidelines and training
- Maintain department’s Business Continuity Plan and organizational charts
- Onboard new law firms, maintain accurate records of active ones, address administrative queries, and update the Legal's Matter Management System
- Maintain the office supply cabinet and legal library
- Back up to EA & Board Liaison, assisting with Chief Legal, Administrative and Membership Officer’s calendar management, Board and Committee meeting process and logistics, including meetings, materials, electronic BoardBooks, and technology
Key Qualifications
- Minimum of 3-5 years' experience in a Legal Assistant or coordinator capacity working at an executive level, preferably with a focus on legal, regulatory or insurance operations
- A strong alignment with Foresters organizational values
- Post secondary diploma in Legal Administrative Studies / Legal Assistant or equivalent experience in a legal environment
- Superior organizational, analytical and project management skills
- Excellent computer skills with superior knowledge of MS Office, OneDrive/SharePoint, Acrobat Adobe Pro, and other software including legal matter management systems
- Strong ability to work under pressure and multi-task in a demanding and frequently changing environment
- High degree of initiative, confidence and self-direction
- Must be self-motivated and solution driven
- Confident verbal and written communication skills, with polished professional writing, and the ability to proof-read and craft organization documents
- Ability to handle sensitive and confidential material with the utmost professionalism
- Exceptional customer service skills and the ability to develop and establish effective working relationships with key stakeholders, outside counsel law firms and vendors, as well as members of the department, and develop mutually beneficial partnerships with internal clients
- Self-motivated team player with demonstrated creativity, innovation and solution oriented
- Expected to solve simple to moderate problems and evaluate information for the purposes of making recommendations within generally established guidelines
