Job summary

A leading construction materials provider is seeking a Site Administrator for a 12-month contract in Paris, Ontario. The successful candidate will provide administrative support across multiple sites, handling invoicing, payroll, and compliance. A High School Diploma and 1-3 years of relevant experience are required. Proficiency in Excel and valid Ontario G Class Driver’s License are also necessary.

Qualifications

  • High School Diploma required; Diploma in Business Accounting or Administration is an asset.
  • 1-3 years of related experience in data entry, payroll, and invoicing.
  • Valid Ontario G Class Driver’s License.
  • Intermediate proficiency in Microsoft Excel (formulas, pivot tables).
  • Strong communication and analytical skills.
  • Highly organized and detail-oriented.

Starting Wage: $23.00 - $27.00 hourly

Responsibilities

Job Responsibilities:

Under the general direction of the Site Manager and Site Superintendent, the Site Administrator is responsible for providing administrative support to multiple sites by ensuring the timely processing of month end activities (invoicing, purchasing), payroll, OPE indicators (overtime, labor hours), Corporate Social Responsibility and related cost control reporting.

  • Process invoicing, cost accounting, daily time sheets, fuel consumption, and purchase requisitions using SAP and Excel
  • Track rental equipment usage and invoicing, and ensure accurate coding of incoming packing slips
  • Monitor payroll time sheets for errors, close work orders, and support dispatch activities as needed
  • Maintain document retention, electronic filing, and produce operational KPIs
  • Coordinate CSR and employee events, track related budgets, and attend community meetings
  • Support Occupational Health & Safety and Environmental Administration, ensuring compliance with regulations
Qualifications
  • High School Diploma required; Diploma in Business Accounting, Business Administration, or a related field is an asset
  • 1–3 years of related experience in data entry, payroll, and invoicing
  • Valid Ontario G Class Driver’s License
  • Intermediate proficiency in Microsoft Excel (e.g., formulas, pivot tables, data entry and analysis)
  • Experience with SAP is considered an asset
  • Strong communication and analytical skills
  • Highly organized, detail-oriented, and able to manage time effectively
  • Ability to work well under pressure in a fast-paced environment
