Kristian Electric is looking for a Service Writer to join our Calgary branch.


Role Summary

As the Service Writer, you will manage all aspects of incoming customer requests and inquiries, booking and scheduling of service, estimating costs for services and repairs, and maintaining a professional level of customer communication and satisfaction.


The Service Writer will be very customer focused, assisting customers as they walk in and providing information based on customer requests and inquiries. Knowledge of parts, services, equipment, and warranties is an asset and will be learned on the job.


Key Responsibilities


  • Manage customer calls, inquiries, and emails.

  • Coordinate walk-in customers.

  • Book and plan service work orders.

  • Adjust repair orders to reflect any changes or additions to the required work and labour.

  • Maintain constant communication with the Service Supervisor and Service Technicians regarding job progress.

  • Verify all labour and parts are accounted for on work orders and invoices, both commercial and internal.

  • Communicate with back shop personnel for yard access.

  • Open new work orders and equipment in Foundation when needed.

  • Assist with pricing work orders.

  • Type work order reports in Foundation.

  • Communicate with customers regarding purchase orders as required.

  • Communicate with customers regarding estimates, parts orders and pickups, machine updates, and when machines are ready for pickup.

  • Communicate with customers regarding orders, updates, and billing information.

  • Source operating, service, and parts manuals for equipment repair.

  • Close work orders and invoice customers when the job is complete.

  • Collect and communicate due payment from customers.

  • Ensure completion of all required documentation at the end of a job.

  • Scan and digitize documentation once complete.

  • Work with the Purchaser to prepare work orders that require approved parts to be ordered.

  • Submit warranty claims and RMAs to manufacturers from start to finish.

  • Direct and provide safety documentation as needed.

  • Mathematical skills.

  • Mechanically/electrically inclined; knowledge of equipment, parts, services, and material handling equipment is an asset.

Educational Requirements


  • High school diploma or GED equivalent.


Experience and Qualifications Required


  • 1–2 years of Service Writer experience in an industrial organization.

  • Minimum 2 years of Service Writing and/or Estimating experience in an industrial service organization.

  • 1–2 years of customer service and/or administrative experience.

  • Parts sourcing experience is an asset.

  • Experience with Foundation 3000 is an asset.

  • Computer savvy with in-depth experience using Microsoft Office, including Outlook, Excel, Word, and email.

  • A valid non-graduated driver's license and a minimum 3-year driver's abstract evidencing a clean driving record are an asset.


Working Conditions


  • Shop environment.

  • May require steel-toed footwear.

  • Eye protection is provided.
