THE OPPORTUNITY:

We are seeking outgoing individuals with a passion for providing excellent customer service to join Onyx-Fire BC as a full-time Scheduling Coordinator! As a Scheduling Coordinator, you will liaise between Field Technicians and clients by coordinating the scheduling of our services. This role involves managing technician schedules and collaborating with internal teams to ensure successful job setups. It offers an exciting opportunity to contribute to our organization’s growth in a dynamic, collaborative environment.

Objectives & Responsibilities of the Scheduling Coordinator:
  1. Communicate with clients regarding scheduling inspections, repairs, and services, including creating and sending notices and retrieving relevant information.
  2. Ensure all services are confirmed and scheduled appropriately, with technicians assigned based on required stamps, technical level, and certification.
  3. Optimize technician scheduling for efficiency and effectiveness.
  4. Coordinate with the Warehouse Team for parts required for each work order.
  5. Liaise with third-party contractors to ensure all parties are on site for successful work completion.
  6. Provide technicians with necessary documentation to complete their scope of work.
  7. Communicate key scheduling information to Technicians, such as check-in times and special requests.
  8. Collaborate with the Service Team regarding re-scheduling incomplete work orders.
  9. Work with Account Managers to meet customer scheduling needs.
  10. Follow department guidelines and metrics to achieve company goals.
  11. Adhere to and promote company values, policies, and safety protocols.
  12. Perform additional coordination and administrative duties as needed.

The ideal candidate will have:

  • Previous experience as a Dispatcher, Scheduler, or similar role.
  • Excellent customer service skills.
  • Critical thinking skills with a customer-centric approach to problem-solving and prioritization.
  • Proficiency with various software systems.
  • Strong attention to detail, strategic thinking, and analytical skills.
  • Knowledge of the Fire Prevention Industry is an asset.
  • Excellent time management and task prioritization skills.
  • Resourcefulness and proactive problem-solving abilities.

Please note: Local candidates only. Hours are 8:00 am – 4:30 pm, Monday to Friday.
