JOB SUMMARY:
The Service Office Coordinator (Trailer Repair) will oversee daily service operations in the shop to ensure customer satisfaction, accuracy in invoicing and timely repairs. The position involves coordinating repair schedules, providing technical input, troubleshooting, accurate billing and ensuring all documents and work orders are complete.
REQUIREMENTS OF ROLE:
- High school diploma or post-secondary education.
- May hold a valid 310T or 310J license.
- Must have a valid driver's license.
- Experience in a leadership/trainer/mentor role.
- Strong attention to detail and communication skills.
- Ability to handle complaints and resolve conflicts.
- Highly organized and able to schedule busy workloads.
- Must be familiar with Trailer Repairs.
PRIMARY RESPONSIBILITIES:
- Dispatch driver's pick up & delivery units and parts.
- Prepare & create customer yard checks as required.
- Update customer records as required.
- Coordinate with the Parts department on the status of parts.
- Daily yard checks; current/up-to-date yard inventory.
- Prepare and send customer quotes, safety paperwork, etc.
- Create & follow customer standard index (binder).
- Open/close work orders.
- Inbound & outbound unit inspections.
- Assist with shop work schedules.
- Assist shop with trailers in/out as required.
- Work with Health & Safety with assigned staff.
- Manage service office responsibilities.
- Work with Supervisor / Shop Foreman to review all work, including Parts Pricing, Work Orders & Invoicing.
- Experienced with Safety inspections and Driveon.
- Assist with parts ordering for Inventory and Supplies.
- Quarterly Inventory counts.
- Coordinate with the Parts Department to ensure all billing is accurate.
- Ensure all documents and work orders are complete.
- Promote a teamwork environment with all employees.
- Ensure that all safe job procedures and practices are followed according to ministry standards and company policy.
- Work with Supervisor / Shop Foreman when tasks are taking longer to repair due to unusual situations so that you can communicate with the customer and get authorization to continue the repair.
- Obtain authorization for repair from the client and notify the Supervisor / Shop Foreman to commence any repair, especially if repair is not specified on the work order.
- Communicate with the Supervisor / Shop Foreman if any situation arises where the work license has been affected.
- Completing your ‘WHMIS’ Certificate and other prescribed training.
- Act as a backup for Shop Supervisor.
- When required, visit customer locations to inspect units.
- Other duties as assigned by management.
- Assist in estimating & quoting jobs.
- Work hand in hand with the shop foreman.
- Assist with inventory.
- Create customer invoicing and submit.
- Assist with accounts receivables & collections.
- Assist with any shop and shop tool maintenance scheduling or repair.
- Assist with tracking regular maintenance of shop utilities.
- Assist with tracking shunt truck maintenance logs & repairs.
- Participate in meetings for audit & sales reporting.
- Assist with review and approval for technician's timecard for payroll.
