As a Service Delivery Coordinator, you will play a vital role in ensuring the smooth and efficient delivery of building and facility management services. You will coordinate service requests, oversee work orders, and collaborate with internal teams, external service providers, and clients to ensure operational needs are met on time and in accordance with contractual requirements. Your responsibilities will include monitoring service performance, managing estimates and invoices, maintaining accurate records, and supporting financial and administrative processes. By tracking service-level agreements (SLAs) and identifying opportunities for process improvement, you will contribute to operational efficiency and service excellence. This full-time, remote opportunity is ideal for an organized, customer-focused professional who thrives in a fast-paced environment and enjoys coordinating multiple priorities. You will help build strong stakeholder relationships while ensuring reliable service delivery and positive client experiences.

Accountabilities:
  • Coordinate and manage work orders from initiation through completion using internal or client-specific web applications, ensuring requests are processed accurately and within established timelines.
  • Align client service requirements with contractual obligations, service schedules, purchase orders, and applicable service standards.
  • Schedule and coordinate site access for internal teams and external service providers, ensuring activities are arranged efficiently and with minimal disruption.
  • Create work orders as needed and follow up with service providers to monitor progress, resolve delays, and ensure service-level agreements (SLAs) are consistently met.
  • Prepare weekly and monthly reports summarizing work order activity, service provider performance, outstanding requests, and operational results.
  • Collect and verify supporting documentation required for quotations, estimates, and invoice submissions, ensuring compliance with client-specific processes.
  • Review estimates and submit them to the appropriate approvers in accordance with established authorization procedures.
  • Review third-party invoices for accuracy and completeness, support financial accruals, and submit purchase order (PO) requests as required.
  • Compile operational data and performance metrics for SLA scorecards, reporting, and service delivery analysis.
  • Record and report incidents through the designated Intelex system and submit ComplyWorks requests in accordance with applicable procedures.
  • Maintain accurate databases of service requests, work orders, and supporting documentation to ensure data integrity and facilitate reporting requirements.
  • Build and maintain effective working relationships with clients, internal stakeholders, and external service providers to support collaboration and timely issue resolution.
  • Review customer satisfaction (CSAT) results and service performance reports to identify concerns and opportunities to improve the client experience.
  • Communicate operational issues, compliance concerns, and deviations from established standards to management, recommending corrective actions where appropriate.
  • Identify opportunities to simplify workflows, improve efficiency, strengthen processes, and enhance the overall quality of service delivery.
Requirements:
  • A high school diploma or equivalent, supplemented by specialized technical or business-related coursework.
  • At least one year of relevant professional experience in service coordination, facilities management, operations support, administrative coordination, or a similar field.
  • Familiarity with financial management software and administrative processes involving work orders, estimates, invoices, purchase orders, and financial accruals.
  • Experience with facilities or enterprise management platforms such as Maximo and Oracle is considered an asset.
  • Strong organizational and time-management skills, with the ability to coordinate multiple service requests, manage competing deadlines, and maintain accurate documentation.
  • Excellent verbal and written communication skills, with the ability to interact professionally with clients, service providers, colleagues, and management.
  • Strong interpersonal and customer service skills, with a commitment to resolving requests promptly and maintaining positive stakeholder relationships.
  • Analytical and problem-solving abilities, including the capacity to review service performance data, identify discrepancies, and recommend practical solutions.
  • Good computer skills, including proficiency in business applications, data entry, reporting tools, and web-based service management systems.
  • Attention to detail and a commitment to maintaining data accuracy, following established procedures, and complying with contractual and operational standards.
  • The ability to work independently, exercise sound judgment, and take initiative while collaborating effectively with cross-functional teams.
  • A proactive and adaptable approach to continuous improvement, service quality, and operational efficiency.
  • No specific professional licence or accreditation is required for this position.
